New Tier-Based Pricing Takes Effect August 1st, 2019: Making Our Pricing As Straightforward As Our Product

Hello! 

In case we haven’t met, my name is Claire Milligan and I serve as the General Manager of Tallie and Co-Chief Product Officer for the Certify/Chrome River family of brands. I started at the company in 2012, prior to the public launch of Tallie, and was part of the team that conceived of our active user pricing model “way back when.” Since then, we’ve learned a lot and it’s time for our pricing model to catch up. Today, we introduced a new tier-based pricing model for new customers and I’d like to take a moment to explain how and why we arrived at this new structure.

The new pricing model includes three tiers of functionality, based on integration: Basic Accounting, Cash Control and Cloud ERP. Each tier comes with a set number of included users for a base price. For every active user over the included number in any given month, a customer is charged an overage in arrears. We will continue to calculate active usage in the exact same way as before, registering a user as active once an expense has been created in their account. Pricing Model Confusion

At Tallie, our mantra is to make our product seamless and easy-to-use for all users, but it seems our pricing structure didn’t live up to this brand promise. Our previous model of having a $50 minimum that would be removed once an active usage rate exceeded $50 was cumbersome to explain. In speaking to clients and investors, I resorted to miming a graph with one arm as a minimum and the other arm showing increasing active usage eclipsing that minimum. When you find yourself using interpretive dance, it’s a clear indicator that you have missed the mark. Plus, you should see the crazy logic that has gone into generating a Tallie invoice. We pre-bill a minimum, then refund it, or just hold on to it, all depending on how many users were active in the month and whether there was a proration involved. Not seamless. Not easy-to-understand. 

First, Analyze Impact

Knowing we wanted to simplify our pricing, we underwent extensive modeling against our current database of customers to determine how to best align price points with current scales of customers using a variety of combinations of feature sets. We were on a mission to simplify, not to ratchet up prices. We wanted to make sure there wouldn’t be a significant difference in invoice amount for a customer who bought our service a month ago as if they had bought our service today. Because the new pricing model is different, the price point for an equivalent customer is rarely identical, however. This is why we have not automatically shifted any customers to our new pricing model and have no plans to do so in the future.

Unpredictable Costs

We built Tallie to be an excellent solution for businesses that prefer a streamlined, simple workflow that does not require accounting expertise for effective, scalable use. As a result, our customers tend to be on the smaller end of size, having tens or hundreds of employees, rather than thousands. However, with only a $50 minimum, any business with greater than 5 employees did not have a way to predict the cost of using Tallie from month to month, a variation that swings more wildly as companies become larger. In fact, we noticed a trend of customers asking us for a higher monthly minimum in order to lock in a predictable invoice amount. We needed a model that would allow a client to expect a flat recurring monthly charge that might vary only occasionally with seasonality or company growth.

Value-Added Integrations

In our family of brands, Tallie is the product known for plug-and-play accounting integrations, which feature Activity-Based Sync (did you see the news that we just added NetSuite to our list!?). Our Bill.com integration can support a ‘triangle sync’ configuration that keeps QuickBooks records and Bill.com records always in sync and empowers a dynamic export configuration to both systems. Our Sage Intacct integration natively supports both shared multi-entity and distributed multi-entity environments, allowing easy attribution of expenses across entities and currencies. Our NetSuite integration is well on its way to parity with the Sage Intacct integration. We believe there is an inherent value to these integrations above and beyond our standard offerings for Xero, QuickBooks Online and QuickBooks Desktop. Additionally, the need for these higher-end integrations tends to grow with the size of customer, so the model mapped very well for our customer base.

For those of you who are already customers of Tallie, you’re welcome to opt in to the new pricing model at any time after August 1, 2019. Simply visit the Billing area of your account, within the Settings pages, to view options and convert your account. Or, stick with your current model if you prefer!

For any prospects evaluating Tallie for your own use, feel free to create a Free Trial and select the pricing plan that makes the most sense for your business when you are ready to buy (some lower-level plans may not be available, depending on the integration functionality you have activated in your trial). If your business is at an even larger scale than our current tiers, a sales expert will be happy to negotiate a custom flat rate and active user overage pricing that makes sense for you. Please keep in mind our changes will go into effect August 1, 2019.

New Receipt Controls: Ability to Zoom in and Download Original Files

In our most recent mobile app release, we introduced the ability to zoom in on receipts so you can review them in closer detail. This functionality is now supported in Tallie web as well. Simply hover over a receipt and click anywhere to activate the zoom feature. The “Original” link in the upper-right corner of the receipt window will allow you to download the file in its original size. These new functions are available for receipts in all stages of Tallie.

Statement Upload Now Supports Credit Card Subaccounts

We understand that credit card transaction management is mission-critical for your expense report software. We’ve further improved our statement upload feature to add subaccounts support. Rather than requesting the bank to provide you with individual files for each subaccount, you can now upload a single file that contains several subaccounts to Tallie. Our transaction file processor will detect the total number of subaccounts in the file, feed transactions to existing subaccounts and create new accounts for unrecognized card numbers. With this feature and our very own credit card integration, Bank Data Delivery, we will be able to provide unparalleled credit card transaction management for an even larger portfolio of financial institutions across different sizes.

Intacct Advantage 2017: It was a blast, see you again next year!

And that’s a wrap! Intacct Advantage 2017 has come to a close. We hope all who attended this year’s event left the city of lights feeling like high rollers. The conference floor was buzzing in Las Vegas. Thanks to everyone who stopped by to visit us. It was a thrill to debut our combined Nexonia and Tallie booth.

Enhanced Corporate Card Control: Tallie Expense Reports Software 11.3 Release Notes

Here at Tallie, we understand that credit card transaction management is mission-critical for your expense report software. Our goal is to provide the most reliable credit card options among all the expense tracking products on the market, and streamline the processes for significant time savings. In this release, we are introducing our “Bank Data Delivery” credit card import experience for Visa and American Express. Additionally, we added the ability to export corporate card expenses to bank accounts in QuickBooks.

Bank Data Delivery Credit Card Feeds

At Tallie, we take pride on the award-winning integrations we’ve built from the ground up. In order to support an even wider range of financial institutions and provide comprehensive in-house support for credit cards, we implemented our newest credit card integration, Bank Data Delivery. Bank Data Delivery is the fourth credit card transaction import method we provide, which will coexist with credit card aggregator, statement upload, and Direct Connect (OFX). Because it requires an agreement with your bank, to initiate a Bank Data Delivery connection admins must contact a Product Expert, who will enable the feature, walk you through the setup and ensure a successful data delivery from your bank.

Bank Data Delivery supports corporate card sub-accounts from Visa and American Express. New sub-account shows up automatically when the bank sends transactions attributed to it.

Bank Data Delivery is optimal for businesses with commercial cards that need support for tens to hundreds of corporate card sub-accounts. Once a profile setup has been completed, the credit card feed will appear like a normal feed as our current connection methods. Similar to the functionality when a new account is detected by our aggregator or PEX, when the bank sends transactions attributed to a new sub-account, it will show up on the Credit Cards page automatically.

At this time, Visa and American Express are fully supported. We plan to roll out Bank Data Delivery to MasterCard in early 2017. See our KB article for more details.

Export Corporate Card Transactions to Bank Accounts in QuickBooks

Admins who use Tallie to track debit card and/or bank account transactions (or use our PEX Card integration) can now export to QBD bank accounts! QBO users have had this functionality for a while and now QBD users can do the same.

To use this feature, simply map the corporate card to a bank account on Manage Lists > Company Cards page, and export per usual. Non-reimbursable charge export generates a check, while non-reimbursable credit export generates a deposit. Note that both charge and credit are exported to the specific, individual account mapped to the account on the Company Cards page. This feature also honors export settings including “Send merchant name to accounting” and custom payment memo.

New Version of TallieConnect for QuickBooks Desktop Users

We have updated our QuickBooks Desktop sync tool TallieConnect to version 11.1.30. This version addresses the export duplication issues for customers in hosted environment and has been fully tested for QB 2017 compatibility.

For admins who manage multiple Tallie accounts, we also made it harder to sync the wrong QB file by displaying a warning when the selected file to sync is different from the previously-synced one.

New Settings menu: Ability to allow background syncing and turn off notifications.

Additionally, we made some changes to improve user experience, including the ability to suppress notifications and sounds in Settings, ability to allow TallieConnect to do background syncing, which will prevent QuickBooks from opening a secondary window when the correct file is already open in the primary window, and display a notification when Tallie is in maintenance mode. Download and install the latest version now to take full advantage of TallieConnect!

Additional Enhancements & Fixes

  • Sync Settings: Ask a Product Expert about configurable sync restrictions and the ability to suppress billable flag on export. (Only available to be configured by a Product Expert)
  • New Currency: Tunisian Dinar (TND)
  • CSV Export Template: We have added two additional Tallie Field options for Custom Export Date.
  • Intacct Multi-Entity: Ability to mass update “Export expenses to” in People list
  • Fixed additional approvers disappearing or not saving issue.
  • Fixed various QB export issues, including erroneous error “Merchant name already exists,” not billable expenses with project info being exported as billable, and various incidents of reports being stuck in Queued.
  • Fixed Analytics page fails to load when sorted by Merchant.

The Fastest Expense Coding You’ve Ever Seen: Tallie 11.2 Expense Report Software Release Notes Featuring Spreadsheet View

We’ve been working on a new feature on the Purchases page for the past few months and we’re excited to unveil it in this release — the Purchases Page Spreadsheet view! Built with usability and efficiency in mind, the Spreadsheet view is the easiest-to-edit view on the Purchases page thus far. In addition, we implemented notifications to approvers when reports have been unsubmitted, added support for export as draft to Intacct, and addressed a variety of export issues that were raised since the last release. Read on for more details!

Purchases Page Spreadsheet View

The much-anticipated Spreadsheet view is now live! In the upper-right corner of the Purchases page, you can now switch between the Tallie signature tile view, the table view, and the latest Spreadsheet view. The Spreadsheet view is designed to provide power users a way to rapidly code and edit expenses by incorporating tab and return commands to navigate between cells. By displaying all expense details in individual cells, the Spreadsheet view also offers enhanced visibility.

The Purchases Page Spreadsheet View features in-line edit and tab and return commands to navigate between cells.

Similar to Microsoft Excel, hitting the Return/Enter key saves the current cell’s content and navigates to the cell below, and the Tab key moves the cursor to the cell on the right after saving the current cell’s content. The Tab and Return magic doesn’t end here. Holding down the shift key and hitting Return saves the current cell’s content and takes you to the cell above it, while Shift + Tab saves the current cell before moving the cursor to the cell on the left. Just like Tile and Table views, use the category icons to select a few expenses. Once these expenses are selected, you may choose to edit all, delete all or start a report with the selected expenses.

We released Spreadsheet as a beta feature as we continue to fine-tune it, and we’re excited to hear your feedback and suggestions if you have any! Please note at this time Spreadsheet view is not supported in Firefox or IE browsers (including Edge).

Export Expense Reports as Draft to Intacct

The majority of our Intacct customers rely on Tallie to handle their approval process for expenses prior to export to Intacct. However, some of you have requested additional flexibility to allow for later approval processes in Intacct after export from Tallie. In order to serve your needs, we now offer export to both the Accounts Payable module (bills) and Time & Expense module (expense reports) in Draft state, in addition to the already-supported Approved state. Please note that a manual process is required in Intacct to mark these Draft bills and expense reports as Approved prior to payment.

Exporting reimbursable expenses in Draft state provides additional flexibility for exported data in Intacct.

Notifications to Approvers When Reports Have Been Unsubmitted

Tallie now sends a notification to anyone who received an approval email when the report has been unsubmitted, regardless of whether they’ve approved the report or not. (We released this feature early so you might have noticed it already!)

    • Intacct Users: Stalled sync issue observed in Tallie accounts connected via Console credentials is fixed.

Critical Information at Your Fingertips: Tallie Expense Report Software 11.1 Release Notes

There’s been a mantra around the Tallie offices in the last few months — we’re on a mission to ensure a seamless expense report software management process for our client administrators. It’s a complex process to keep all your systems in sync, so we strive to keep it simple and functioning smoothly.

With that in mind, Tallie engineers have created a more robust export experience for our software release version 11.1 that provides you with more comprehensive status and historical information than ever before. Additionally, we’ve added a few enhancements to our integrations (particularly Intacct) and will begin sending out invoice and payment confirmation via email with the next billing cycle.

Export Status Tracking

Prior to exporting to any integrated system, Tallie has always run each expense report through a comprehensive validation process, where Tallie validates that all mapped entities on the report are active and properly linked to entities in the accounting system. If errors are found, the report will be placed in error state with specific steps towards remediation indicated. Once validation is complete, Tallie processes the expense data into a format appropriate for transmission to the target system and finally delivers the data. In version 11.1, we are now displaying to our users exactly which expenses and reports are validating or processing at any given time, before being transmitted. We hope this further transparency will help with troubleshooting and understanding of our process.

The status and destination of each expense is communicated in real time while the expense report is being exported.

What does Queued Status Mean?

If a report remains in queued state for a duration of time, Tallie is waiting to connect to the integrated system. QuickBooks Desktop customers can clear reports from queued state by signing in and connecting TallieConnect.

Expense Export History

Tallie’s powerful multi-destination export logic is capable of breaking apart a report and exporting it to a wide variety of destinations, including payroll files, practice management files, accounting systems and bill pay systems, all with the click of the Export button. With this power comes great responsibility, so we’re now appending an export history record to each individual expense on the export page. This history area will communicate to you where each expense has been exported and the most recent date/time of that export action.

Once an expense has been exported, Tallie provides you with the destination and date/time of the export event.

Email Notifications for Subscription Billing

Tallie regularly bills our clients at the close of the month. We’ve made our invoices available in the Billing area of Settings for quite some time, but now we’re also going to send each system administrator an email with the full invoice prior to charging the credit card, and a follow-up receipt once the payment has gone through. We hope this helps you better track your Tallie costs. Please note that if you are on the Enterprise Plan, you may not receive these emails as regularly. Please refer to your signed agreement for your billing cadence.

Invoice and payment receipt emails containing line item detail will be sent to company administrators.

Additional Feature Enhancements

  • Intacct Users: You can now mass update selection of export enterprise (Export Expenses To) on People page.
  • Intacct Users: We now provide Vendor on the line item when exporting to Accounts Payable.
  • Intacct Users: Your account can now be configured so that managers from Intacct are no longer assigned as approvers during sync. Please contact Support for system configuration.
  • New Currencies Added: MYR Malaysian Ringgit, EGP Egyptian Pound
  • Fixed: Archived expense categories are no longer being auto-mapped on iOS and Android apps.
  • Fixed Some customers had difficulty deleting credit card profiles.
