Tallie Expense Reports – 10.6.9 Release Notes

We’re quickly approaching the second half of 2015, but the Tallie Team hasn’t slowed down one bit. We’re excited to announce some exciting product updates for our customers including enhanced Groups features, updated concatenation functionality for custom CSV exports, and improved “Print to PDF” functionality. Take a peek:

Using Groups to Control Extensive List Data

In addition to expense categories, Tallie administrators can now use Groups to limit which employees can select which Customers, Projects, Classes, Departments and Locations. This update provides further control with ease for our clients with more extensive and complex back-end setups.

How It Works: To add a Project, Class, Location, etc. to a Group, tracking for that list item must first be enabled in Tallie’s Features tab.

If a user is in more than one Group, the access restrictions are accumulative.

Example: If Group A is restricted to Class 1 & Class 2 and Group B is restricted to Class 1 & Class 3, then a person who is in Groups A & B will have access to Classes 1-3.

If a Group does not include the selection of any option for a given list item, then this is considered a non-restriction.

Example: If Group C has no listed classes, then a person who is in Group C will have access to all classes. This non-restriction does not override any restrictions in place for the other groups, so a person who is in Groups A, B & C will still only have access to Classes 1-3.

Projects Resources and Groups for Projects behave together in a subtractive way.

Example: If you’re listed in the Project People tab for Project A and B, and your group grants you access to Project B & C, you effectively only have access to Project B.

Groups: Active List Data & Restrictions Viewing Options

From the list view, Tallie administrators can now choose to activate or deactivate the Groups they’ve created (see image). Additionally, the list view now displays all active list data restrictions (i.e. Projects, Departments, Classes, Customers, and Locations).

NOTE: If restriction for a list item is not turned on, the item label will be hidden.

Concatenation for Custom CSV Export

We’ve expanded Tallie’s existing concatenation functionality to now work for both Custom Export and CSV templates.

How it Works: To concatenate values into a single row, simply assign the same column header to more than one row. If you need spaces between the values, insert a row with -None- for the Tallie field and a space as the fixed value, or you may also use symbols as needed.

Example: In the image below, we’re exporting a concatenated field for “Project | Class.” We can do this by applying the same column header to a row for Project Name, a row with “ | “ for the fixed value, and a row for Class. The concatenated field will populate in the first column that uses the column header.

Print to PDF Improvements

Signature Lines are back! Based on customer feedback, we’ve brought back Signature Lines to “Print to PDF” expense reports. This feature is helpful for Tallie clients who prefer to provide their customers with signed expense reports for invoicing purposes. Signature Lines are now available for both “Print” and “Print to PDF” options.

1. Don’t hesitate to automate! Here’s how you can prepare:

2. FIFA gets ‘red carded’ by the IRS:

The big news in the accounting this week involves the international soccer giant FIFA. The IRS, FBI, and numerous international agencies have officially charged 14 high ranking officials in the Fédération Internationale de Football Association (FIFA) with counts of racketeering, bribery, wire fraud, and money laundering conspiracies. These are all in relation to a long-standing conspiracy to corrupt international soccer. We love soccer at Tallie but we don’t love fraud anywhere, including in your expense report process.

3. Snapchat might go public soon:

Snapchat CEO Evan Spiegel reveals his plan for an initial public offering. The company has around 200 million active user and is currently worth $10 Billion. Additionally, Spiegel gives his views on the future of the tech industry.

4. The latest from I/O – Google Photos is here!

At Google I/O on Thursday, Google announced their release of Google Photos – a way to store and manage photos without needing to to use Google+. You can also tag photos and make .gifs! The service is free and offers an ‘unlimited’ amount of storage. Also announced at Google I/O are numerous updates to Android OS, Chrome, and much more.

5. Tallie’s app of the week comes from our pals SmartVault:

Think of SmartVault as a sort of receipt shoebox optimized for the cloud. It stores documents and images of many different file types that are accessible from any device. Tallie 10.6 Release Notes: New Features for Intacct Admins and Tallie Product Enhancements

Version 10.6 of Tallie is now live! Read on to learn about our new Intacct enhancements, expense tile preview, mass update for expense categories, support for custom list names, and more!

New Features for Intacct Administrators

Five Dimensions Selectable on Each Expense

Admins can visit the Features page to choose which dimensions users may select when entering new expenses. This includes support for the five standard dimensions, and allows users to select not only on the expense category, but the following: Project, Customer, Department, Class and Location.

Exporting to Cash Management and Creating Charge-Card Transactions

Most Intacct users manage credit card transactions one of two ways. The first is through AP, creating a bill in Intacct to debit the corresponding bank account. The second is through the Cash Management module with Charge-Card Transactions, which Tallie is now proud to support.

To set up the latter in Tallie, simply to go Integrations & Sync, click on Export Settings and set the Non-Reimbursable Expenses to Charge Card Transactions.

After selecting your export preferences, you may add your card and designate it as non-reimbursable. It can then be mapped to the appropriate Cash Management Account and corresponding charge card account in Intacct.

Upon export, go to Intacct’s Cash Management, then click on Charge-Card Transaction to see the list of charges.

Each expense item will be listed as a separate transaction. If itemized, any itemizations appear within the transaction.

Support for Custom Dimension Names

One of Intacct’s strengths is the flexibility it gives users, such as the ability to rename dimensions. Now, Tallie allows lists to be re-named to match the preferences of the accountant and their supported system.

To enable this feature, first go to Company Preferences, then Customize, and click Rename List. This will take you to the following menu, where you can rename both the singular and plural of each of the list names – keeping the expense submitters on the same page as the rest of the organization.

Product Enhancements

Mass Update for Expense Categories

Tallie’s Mass Update option (found in the Manage Lists area), allows you to apply your change(s) to multiple selected items at once. With this release, Mass Update can also be used for Expense Categories. This enhancement allows admins to make changes in active status or payment memo in one fell swoop.

Features Page: Review of Expenses Tiles

As before, the Features page allows you to determine which expense data should be selectable or subject to certain rules. Now, you can preview how the expense tile will look to users.

Expanded and Improved Foreign Currencies

Tallie has expanded our foreign currency support to include the following:

• Georgian Lari (GEL)
• Czech Crown (CZK)
• Phillippine Peso (PHP)
• Ukrainian Hryvnia (UAH)
• Polish sloty (PLN)
• Zambian Kwacha (ZMK)

The currency drop-down has also been replaced with a scroll bar to make it much easier to navigate to your desired type.

Merge Expenses in Approval and Export areas

Admins can review, check and approve expenses on both the Approval and Export pages. Now, Tallie’s merging capabilities have been expanded to allow admins to merge Unsubmitted expenses with those that have already been Submitted and/or Approved.

You asked for it, and now it’s finally here! Tallie is proud to announce our deep, real-time integration with Xero. Look for our expense management app on the Xero Marketplace and start automating your small business’ expense reports right away.

Robust Tracking Category and approval support.

Xero allows businesses to keep two active Tracking Categories at any given time. Now, Tallie is the first expense report solution to let Xero users map their custom Tracking Category names to the accounting list of their choice (such as Departments, Classes and Projects.) This provides account administrators with a convenient way to take advantage of Tallie’s powerful list-specific features.

For example, a business might choose to track expenses based on custom Xero Tracking Categories “Region” or “Line of Business.” That company can now map “Line of Business” to Tallie’s Classes, allowing for configuration at multiple levels per our class hierarchy. By syncing a Tracking Category with a Project, they can also take advantage of our robust Project approval loop, and assign specific approvers based on projects and sub-jobs.

To sync a Xero Tracking Category with one of Tallie’s list items, first visit the Integrations & Sync page. Then click Sync Settings.

Click Connect to Xero to authorize the data sync and import your active Xero Tracking Categories. Then, use the drop down menu to select a corresponding Tallie list item. Press Start Sync.

As per the above example, any expense given a particular Class or Location in Tallie is automatically assigned the matching Tracking Category when exported to Xero.

Sync Employees, no matter your region.

Depending on your region and subscription, Xero supports employee lists through either the Payroll or Contacts modules. Either way, Tallie syncs your employee data and ensures that any edits made to employee records in Tallie are immediately updated in Xero. No additional configuration required. If your company’s subscription doesn’t include Employee support in Xero, you may also import a list of users via spreadsheet.

To connect Tallie to a console entity or client, admins should log in to Tallie then select the Sync Settings page under Integration & Sync.

Write transactions into every Intacct entity.

Other accounting solutions that claim to support Intacct multi-entity environments really only sync with and export to a single entity.
