Tallie Employee Spotlight: Vita, Implementations Manager

When Vita Guido walked through the Tallie doors in September of 2014, the team knew they had struck gold. Over the past three years Vita has served as an invaluable asset to the organization, bringing immense product knowledge, contagious positivity, and an uncanny sense of humor to the office every day. We sat down with Vita to learn more about our favorite implementations team manager.

What do you do here at Tallie?

I manage a team of three fabulous implementation specialists. We on-board new Tallie and SpringAhead clients. I oversee the process and make sure we get our clients excited, prepared, and ramped up!

Who is Gizmo?

He’s the Tallie MVP, unofficial mascot, and employee of the year. He’s also my cat.

What is your favorite part of working for Tallie?

The people! I really enjoy working with our Tallie peeps. We are hardworking but have plenty of fun in the office. I also like the flexibility of working with other teams; you’re never tied to your own department. If you’re interested in dev work, for example, you can participate cross-functionally with the engineering team. Now that we’re a family of brands, we can also branch out to our sibling softwares, Certify and Nexonia!

What makes Tallie different from other companies?

I really enjoy that every day is different. There is always something new to learn. We are exposed to so many softwares that we become masters of not just our own product but all of our partner integrations too. Giving us expertise and insight into all of these products allows us to help our clients above and beyond.

VitaBee4ever and it still is.

How many countries have you been to?

Nine and counting! Mexico, Cuba, Iceland, Canada, Japan, and Italy to name a few.

Which one was your favorite?

Japan. It was so different from anywhere I’ve ever been. I also loved France for how romantic it was. The southern coast of France is so beautiful.

We heard you did quite a bit of karaoke in Japan. Do you have a favorite song?

Life on Mars by David Bowie. Because if you’re not a very good singer you still sound like a pro. Least favorite: Pork and Beans by Weezer (don’t ask).

Where do you want to travel next?

Back to Mexico! My family is from there, and I want to experience it as an adult. A pilgrimage to the motherland, if you will. Chile and Argentina are also on my list.

Favorite Bay Area restaurant?

A16 in Rockridge and The Hideout in Lafayette.

What is an Instagram account people should be following?

Poorly drawn lines and Ketnipz.

What is your advice for women interested in pursuing a career in tech?

Go for it. I believe women should absolutely pursue careers in tech. There is a stigma that tech has a bro culture, but I wholeheartedly believe there’s an equal space for women. Women should shouldn’t be afraid to dive into more technical roles and fundamentals like SQL. I think Tallie has done a great job of giving those opportunities to women. A lot of our employees started in support and have been able to move into more technical roles.

New Receipt Controls: Ability to Zoom in and Download Original Files

In our most recent mobile app release, we introduced the ability to zoom in on receipts so you can review them in closer detail. This functionality is now supported in Tallie web as well. Simply hover over a receipt and click anywhere to activate the zoom feature. The “Original” link in the upper-right corner of the receipt window will allow you to download the file in its original size. These new functions are available for receipts in all stages of Tallie.

Statement Upload Now Supports Credit Card Subaccounts

We understand that credit card transaction management is mission-critical for your expense report software. We’ve further improved our statement upload feature to add subaccounts support. Rather than requesting the bank to provide you with individual files for each subaccount, you can now upload a single file that contains several subaccounts to Tallie. Our transaction file processor will detect the total number of subaccounts in the file, feed transactions to existing subaccounts and create new accounts for unrecognized card numbers. With this feature and our very own credit card integration, Bank Data Delivery, we will be able to provide unparalleled credit card transaction management for an even larger portfolio of financial institutions across different sizes.

New CSV Export Fields

We’ve introduced three new CSV Export fields to Tallie, including User Class Default, User Location Default, and User Department Default. These new fields will populate the CSV file with the default class, department or location mapped on the user profile instead of those mapped on the expense.

  • New Currencies: Belarusian Ruble (BYN) , Honduran Lempira (HNL), Cuban Convertible Peso (CUC)
  • When clicking Itemize in the middle of an expense create session, we’ll copy over any existing expense data to the first itemized line so it doesn’t get lost
  • Fixed the issue where the Tallie Time project list doesn’t load past a certain point
  • Fixed the issue where Tallie Time projects were available to users who were not assigned to them
  • Fixed the Semi-monthly pay cycle issue, to ensure it does not skip a week
  • Fixed the issue where Tallie was unable to export vendor credits with class to QBO-connected Bill.com
  • Fixed the issue where approvers, permissions, and bill & pay rates do not save upon creating a new user manually
  • Fixed the issue where the Remind Approver button is disabled if the report contains itemized expenses
  • Fixed Mass Update issues, including the internal server error that comes up when removing Location, Department, and/or Manager from people and the Select All option

Tallie Introduces New Client Onboarding Automation

Onboarding new clients just got easier with new Tallie profile presets.

Tallie today announced a new feature to simplify the task of onboarding new clients for its accounting firm partners. Adding new clients can be an unnecessarily repetitive task, especially for accounting firms transitioning their clients from inherited systems to firm-managed standardized systems. Now, Tallie’s accounting firm partners can save time by storing the settings for an existing client to use as a template for future clients with similar business models and needs. These stored profile presets can then be applied when onboarding new clients.

Review of accounting firm partner processes inspired the new functionality. As accounting firms shift from a traditional time and materials billing process to flat rates and basic service offerings, standardization and automation are keys to profitability.

Corporate Credit Card Changes Coming Soon

With each Tallie release, we try to improve and enhance our customers’ experience, particularly in areas of critical importance. Soon, we will be releasing some changes to our corporate credit card transaction importing functionality, which may require some planning and adjustment for our customers. We know it’s important for our customers to plan ahead for change, which is why we’re sharing this information now. The end result will be a much improved experience, and our Product Experts will be available to help you if a change is required. Read on for our planned changes:

Introduction of New Bank-Direct Data Transfer Connections

Beginning in early December, we will begin offering a brand new service for corporate credit card management. Tallie will give you the tools to establish an agreement with the issuing bank for each of your credit cards which, once signed, will grant the authority to the bank to provide regular transfer of credit card transaction details for all cardholders directly to Tallie, without any intermediary.

Cards Supported
Upon release, we will be able to support standard data feed formats from American Express, Visa and MasterCard. If you hold a different brand of card, please reach out to our Product Experts to review the potential data formats available.

Early Action Steps
Tallie will not be offering beta access, however you may work with the Product Expert team to get the agreement in place with your bank and begin the data transfer process early. This will allow the Product Expert team to confirm data is being received properly and ensure that you will be able to take advantage of the feature when it is released.

Guaranteed Multi-Card Support
As long as the bank provides identifying details in the transfer file to distinguish between cards, such as last four digits or cardholder name, Tallie will automatically recognize each card’s transactions and route those to the appropriate card.

Planned Sunset of Third Party Aggregation Feeds for Card Accounts with Multiple Cardholders

At the end of the year, we will terminate support for our multi-cardholder credit card feeds from third party card aggregators in favor of our new bank-direct feature. Single card feeds will not be affected by this change.

Troubleshooting Tips
If a multi-cardholder feed experiences an issue between now and our termination date, our Product Experts will offer you one of four interim solutions:

  1. If the card is issued by Chase, American Express, Citi or Silicon Valley Bank, a Product Expert can work with you to establish a “direct connect” OFX connection between Tallie and the bank
  2. You may request individual login credentials from the bank for each card, then connect directly to each of these cards via an aggregated feed
  3. You can create a profile for statement upload for each card, then perform a statement upload procedure on each profile
  4. Begin the process to establish a bank-direct data transfer connection early by reaching out to your Account Manager

Connection Transfer for Some Single-Card Accounts

In early November we will be shifting providers for some of our single-cardholder credit card feeds. If your credit card is affected, a Product Expert will be reaching out directly to the administrator of your account to reconnect via a new provider.

Executive Assistant & Better-Than-Ever Integrations: Tallie Expense Report Software 11.0 Release Notes

Tallie is consistently recognized for building the most robust accounting integrations in the industry. In order to maintain this standard, we focused the majority of our efforts on fixing as many imperfections as we could find in our integrations, as well as adding new functionality such as exporting merchant names to Bill.com and fine-tuning our CSV template generator to make them more powerful than ever.

In addition to the enhancements made to integrations and export, the highly anticipated Executive Assistant feature is now live in beta format for select customers! A user can be given the Executive Assistant permission and assigned to manage tasks for one or more executives.

Export corporate credit card merchants to your Vendor list via Bill.com

Knowing where you’ve spent your money is critical to running a business. However, it is often difficult to track expenses by vendor when exporting expense reports in bill format because the vendor is the payee on the bill (the employee or credit card), not the merchant from whom each item was purchased.

In this release, we introduced a new option to include merchant/vendor data in non-reimbursable exports to Bill.com. When exporting corporate card transactions as individual paid bills, admins now have the option to export merchant names to Bill.com Vendors list in addition to the default Credit Card Vendor option. This enables admins and accountants to export both reimbursable and non-reimbursable expenses to Bill.com for approval and attachment purposes without sacrificing the ability to run a report on corporate credit card spend by merchant.

[Beta] New Executive Assistant feature gives the ability to manage tasks for one or more executives

A select number of our customers and partners have been asked to beta-test our new Executive Assistant feature. When this feature is activated, users can be granted the executive assistant permission to access and manage other users’ accounts. This access can be configurable to date ranges and a specific subset of permissions.

When acting as an executive assistant, he/she will be able to create expenses, approve reports, export, and manage Tallie settings on behalf of the executive without receiving full access to the executive’s account. Additionally, they will be able to perform these executive assistant functions without needing to sign out of their personal Tallie account.

When a report is submitted to the executive for approval, both executive and delegate will receive a notification and can approve directly from it. The use of the Executive Assistant feature does not affect billing as active user is calculated based on expense owner, rather than the people creating expenses.

When acting as an executive assistant for another user, you can access both your individual account and the executive’s account using your email and password.

This feature is currently in beta mode and will be released to our general user base after we receive feedback from our early evaluators and make further improvements. Product Enhancements & Fixes

  • For our customers with access to multiple Tallie accounts, the styling of the Identity Details page has been updated for more clarity.
  • We have placed more restrictions on syncing a single Tallie account with potentially conflicting accounting and/or bill pay systems.
  • The engine for creating .CSV export files has been updated significantly, with a great deal more options, additional export formats and the ability to search for the data fields.
  • We have added optional enhanced restrictions on Intacct sync, configurable by each dimension.
  • Added multiple foreign currencies: Bangladeshi Taka (BDT), Moldovan Leu (MDL), Botswana Pula (BWP), Namibian Dollar (NAD), Pakistani Rupee (PKR)
  • We’ve addressed the issue where expense mappings appeared to be erased when approvers edit expense reports, but reappeared upon page refresh.
