The Fastest Expense Coding You’ve Ever Seen: Tallie 11.2 Expense Report Software Release Notes Featuring Spreadsheet View

We’ve been working on a new feature on the Purchases page for the past few months and we’re excited to unveil it in this release — the Purchases Page Spreadsheet view! Built with usability and efficiency in mind, the Spreadsheet view is the easiest-to-edit view on the Purchases page thus far. In addition, we implemented notifications to approvers when reports have been unsubmitted, added support for export as draft to Intacct, and addressed a variety of export issues that were raised since the last release. The much-anticipated Spreadsheet view is now live! In the upper-right corner of the Purchases page, you can now switch between the Tallie signature tile view, the table view, and the latest Spreadsheet view. The Spreadsheet view is designed to provide power users a way to rapidly code and edit expenses by incorporating tab and return commands to navigate between cells. By displaying all expense details in individual cells, the Spreadsheet view also offers enhanced visibility.

The Purchases Page Spreadsheet View features in-line edit and tab and return commands to navigate between cells.

Similar to Microsoft Excel, hitting the Return/Enter key saves the current cell’s content and navigates to the cell below, and the Tab key moves the cursor to the cell on the right after saving the current cell’s content. The Tab and Return magic doesn’t end here. Holding down the shift key and hitting Return saves the current cell’s content and takes you to the cell above it, while Shift + Tab saves the current cell before moving the cursor to the cell on the left. Just like Tile and Table views, use the category icons to select a few expenses. Once these expenses are selected, you may choose to edit all, delete all or start a report with the selected expenses.

We released Spreadsheet as a beta feature as we continue to fine-tune it, and we’re excited to hear your feedback and suggestions if you have any! Please note at this time Spreadsheet view is not supported in Firefox or IE browsers (including Edge).

Export Expense Reports as Draft to Intacct

The majority of our Intacct customers rely on Tallie to handle their approval process for expenses prior to export to Intacct. However, some of you have requested additional flexibility to allow for later approval processes in Intacct after export from Tallie. In order to serve your needs, we now offer export to both the Accounts Payable module (bills) and Time & Expense module (expense reports) in Draft state, in addition to the already-supported Approved state. Please note that a manual process is required in Intacct to mark these Draft bills and expense reports as Approved prior to payment.

Exporting reimbursable expenses in Draft state provides additional flexibility for exported data in Intacct.

Notifications to Approvers When Reports Have Been Unsubmitted

Tallie now sends a notification to anyone who received an approval email when the report has been unsubmitted, regardless of whether they’ve approved the report or not. (We released this feature early so you might have noticed it already!)

Additional Enhancements & Fixes

    • Analytics Page: New data added to Analytics CSV download, including credit card column, submit date, approved date, and export date.
    • Custom Payment Memo: We have added additional fields for customizing your payment memo on export. Please refer to our Customizing Payment Memo support article for more info.
    • Intacct Users: Stalled sync issue observed in Tallie accounts connected via Console credentials is fixed.
    • New Currency: GTQ Guatemalan Quetzal
    • Fixed various export issues, including page refresh being needed to see export error details, exported reports not being marked as Exported, incorrect expense item status messages when export destinations are split, hidden export errors causing reports to be stuck in Queued, reports being stuck in Queued when QBO token is bad, and various incidents of reports being stuck in export states that were unrelated to TallieConnect or QBO statuses.

Critical Information at Your Fingertips: Tallie Expense Report Software 11.1 Release Notes

There’s been a mantra around the Tallie offices in the last few months — we’re on a mission to ensure a seamless expense report software management process for our client administrators. It’s a complex process to keep all your systems in sync, so we strive to keep it simple and functioning smoothly.

With that in mind, Tallie engineers have created a more robust export experience for our software release version 11.1 that provides you with more comprehensive status and historical information than ever before. Additionally, we’ve added a few enhancements to our integrations (particularly Intacct) and will begin sending out invoice and payment confirmation via email with the next billing cycle.

Export Status Tracking

Prior to exporting to any integrated system, Tallie has always run each expense report through a comprehensive validation process, where Tallie validates that all mapped entities on the report are active and properly linked to entities in the accounting system. If errors are found, the report will be placed in error state with specific steps towards remediation indicated. Once validation is complete, Tallie processes the expense data into a format appropriate for transmission to the target system and finally delivers the data. In version 11.1, we are now displaying to our users exactly which expenses and reports are validating or processing at any given time, before being transmitted. We hope this further transparency will help with troubleshooting and understanding of our process.

The status and destination of each expense is communicated in real time while the expense report is being exported.

What does Queued Status Mean?

If a report remains in queued state for a duration of time, Tallie is waiting to connect to the integrated system. QuickBooks Desktop customers can clear reports from queued state by signing in and connecting TallieConnect.

Expense Export History

Tallie’s powerful multi-destination export logic is capable of breaking apart a report and exporting it to a wide variety of destinations, including payroll files, practice management files, accounting systems and bill pay systems, all with the click of the Export button. With this power comes great responsibility, so we’re now appending an export history record to each individual expense on the export page. This history area will communicate to you where each expense has been exported and the most recent date/time of that export action.

Email Notifications for Subscription Billing

Tallie regularly bills our clients at the close of the month. We’ve made our invoices available in the Billing area of Settings for quite some time, but now we’re also going to send each system administrator an email with the full invoice prior to charging the credit card, and a follow-up receipt once the payment has gone through. We hope this helps you better track your Tallie costs. Please note that if you are on the Enterprise Plan, you may not receive these emails as regularly. Please refer to your signed agreement for your billing cadence.

Additional Feature Enhancements

  • Intacct Users: You can now mass update selection of export enterprise (Export Expenses To) on People page.

Executive Assistant & Better-Than-Ever Integrations: Tallie Expense Report Software 11.0 Release Notes

Tallie is consistently recognized for building the most robust accounting integrations in the industry. In order to maintain this standard, we focused the majority of our efforts on fixing as many imperfections as we could find in our integrations, as well as adding new functionality such as exporting merchant names to Bill.com and fine-tuning our CSV template generator to make them more powerful than ever.

In addition to the enhancements made to integrations and export, the highly anticipated Executive Assistant feature is now live in beta format for select customers! A user can be given the Executive Assistant permission and assigned to manage tasks for one or more executives.

Export corporate credit card merchants to your Vendor list via Bill.com

Knowing where you’ve spent your money is critical to running a business. However, it is often difficult to track expenses by vendor when exporting expense reports in bill format because the vendor is the payee on the bill (the employee or credit card), not the merchant from whom each item was purchased.

In this release, we introduced a new option to include merchant/vendor data in non-reimbursable exports to Bill.com. When exporting corporate card transactions as individual paid bills, admins now have the option to export merchant names to Bill.com Vendors list in addition to the default Credit Card Vendor option. This enables admins and accountants to export both reimbursable and non-reimbursable expenses to Bill.com for approval and attachment purposes without sacrificing the ability to run a report on corporate credit card spend by merchant.

[Beta] New Executive Assistant feature gives the ability to manage tasks for one or more executives

A select number of our customers and partners have been asked to beta-test our new Executive Assistant feature. When this feature is activated, users can be granted the executive assistant permission to access and manage other users’ accounts. This access can be configurable to date ranges and a specific subset of permissions.

When acting as an executive assistant, he/she will be able to create expenses, approve reports, export, and manage Tallie settings on behalf of the executive without receiving full access to the executive’s account. Additionally, they will be able to perform these executive assistant functions without needing to sign out of their personal Tallie account.

When a report is submitted to the executive for approval, both executive and delegate will receive a notification and can approve directly from it. The use of the Executive Assistant feature does not affect billing as active user is calculated based on expense owner, rather than the people creating expenses.

When acting as an executive assistant for another user, you can access both your individual account and the executive’s account using your email and password.

This feature is currently in beta mode and will be released to our general user base after we receive feedback from our early evaluators and make further improvements. Product Enhancements & Fixes

  • For our customers with access to multiple Tallie accounts, the styling of the Identity Details page has been updated for more clarity.
  • We have placed more restrictions on syncing a single Tallie account with potentially conflicting accounting and/or bill pay systems.
  • The engine for creating .CSV export files has been updated significantly, with a great deal more options, additional export formats and the ability to search for the data fields.
  • We have added optional enhanced restrictions on Intacct sync, configurable by each dimension.
  • Added multiple foreign currencies: Bangladeshi Taka (BDT), Moldovan Leu (MDL), Botswana Pula (BWP), Namibian Dollar (NAD), Pakistani Rupee (PKR)
  • We’ve addressed the issue where expense mappings appeared to be erased when approvers edit expense reports, but reappeared upon page refresh.

Accounting Code Display
If your company uses codes to reference classes, locations, customers and any other list data, we’ll show those codes to you in the drop down menu as well.

Billable Feature Controller

We originally built Tallie with professional service providers in mind, giving them powerful tools to track expenses against customers and jobs, as well as the flexibility to bill expenses directly back to clients. As it turns out, many of our customers who love Tallie actually don’t have any need for these project billing features. With this release, we’re offering the ability to hide this functionality for all your users, right from the Features page in the Company Preferences area of Tallie Settings.

Integrations Performance

Tallie’s best in class direct integrations with QuickBooks, QuickBooks Online, Bill.com, Intacct and Xero are constantly being tuned and improved. Plus, our recently released scheduled file data transfer integrations for other accounting and practice management systems are getting regular improvements as well. Here are a few of the enhancements we offer with this release:

Certified Support for Bill.com’s Sync 2.0 for QuickBooks Online
Tallie is the only expense report software offering simultaneous integration with both Bill.com and an accounting system. Bill.com recently upgraded their support for QuickBooks Online, and this release guarantees simultaneous support for customers using the Sync 2.0 between Bill.com and QuickBooks Online. Plus, we’re now ensuring that Tallie always syncs with both QuickBooks Online and Bill.com, even if your Tallie environment is configured to export only to Bill.com.

Fewer Sync Errors
Tallie uses sync errors to communicate when issues need to be addressed in communicating with other systems, but sometimes the sync errors can be extra unnecessary information. We’ve suppressed some of these basic errors so you can enjoy Tallie without the extra chatter.

Improved Processing of Massive Files
We have a few customers who use our file data transfer integration to send tens of thousands of projects to Tallie from their practice management systems. We’ve updated how we work through those files to get better performance than before.

Feature Improvements

In addition, we made a couple of additional functional improvements to Tallie. They include:

  • More improvements were made to the duplicate detection algorithm to make it more accurate
  • We added two new currencies: Vietnamese Dong and Mozambican Meticals
  • We’ve begun a process to help resolve issues with duplicated transactions delivered to Tallie from credit card bank transaction feeds. This release should provide some improvement, with more to come.

Bug Fixes

There were also quite a few small issues resolved in this release. They include:

  • Custom payment memo is applied to item-mapped credit card transactions in Xero, QuickBooks Online and QuickBooks Desktop
  • When exporting paid bills to BIll.com, the invoice date now always matches the process date
  • Some customers reported issues in viewing HTML receipts after export to Bill.com. We’ve resolved that issue.
  • Our usage graph that we provide in the Billing area to track your usage to date showed a false spike half way through last month. We’ve resolved that issue as well.

Supercharged Duplicate Detection & Automated Data Transfer: Tallie Expense Report Software 10.9 Release Notes

It’s getting well into fall and we’re dreaming of changing leaves, hot chocolate by fireplaces and the upcoming holidays. In the spirit of sharing the warm fuzzies, we’ve just released some major new developments that will make accountants’ hearts sing. Take a look at some of the highlights from the newest version of Tallie’s expense report software and let us know what you think!

Expanded & Enhanced Duplicate Management Tools

After speaking with many of our clients, we discovered that there were a few key areas where we could provide meaningful enhancements to your experience with managing duplicate expenses.

Review All Duplicates at Once
Gone are the days where you must search the page for any orange Possible Duplicates flag. Clicking on one duplicate pair will bring up a lightbox that will allow you to review all duplicate pairs on the page sequentially, without having to leave that view.

Differentiate Between User-Rejected Pairs and User-Ignored Pairs
Approvers and finance teams have historically been notified of possible duplicate pairs, no matter whether the original submitter ignored the flag or dismissed the flag. In order to cut down on noise and provide an additional layer of meaningful visibility, approvers and admins will now see a gray “Not Duplicates” flag which indicates when the submitter rejected a possible duplicate pair. The traditional orange “Possible Duplicates” flag will remain in place whenever a submitter has chosen to ignore the flag and submit anyway.

Duplicate Resolution Rights Granted to Approvers and Administrators
In the past, approvers and finance teams could only review expenses flagged as duplicates, but could not resolve them. This created a process requiring an expense report rejection, a delay for the submitter to resolve the issue, then a restart of the approval process. In order to cut out unnecessary delays, approvers can now merge expenses they believe to be duplicates and administrators can merge or delete duplicates. Furthermore, if the duplicate flag was rejected by the original submitter (see section above), approvers and administrators can override that decision.

Now Offering Automated Data Transfer for ANY System

We’ve often gotten requests during implementation for custom integrations with on-premise solutions like Microsoft Dynamics GP, Oracle or practice management systems. We’re thrilled to announce that this release includes the capability to establish an automated data transfer process between Tallie and any non-integrated system via sFTP scripted file transfer.

Expense Report Software File Upload Templates

On the Tallie side, the setup couldn’t be easier. Any account can be configured to receive data via sFTP simply by flipping a switch. Once sFTP is activated, Tallie provides you with standardized data template files as well as a custom username/password combination for Tallie’s sFTP server. You can then implement a scripting process in your system to pull data out in a format compatible with the template files and deliver updates to Tallie on a regular basis.

Additional Product Updates

Many of you take advantage of our corporate credit card auto-bundling feature, which offers automated expense report creation per credit card per statement. We’ve updated the naming convention for those reports so they’re easier to organize and compare. Plus, we’ve added a “sticky” header for all expense reports, so the title and control functions are visible as you scroll.

TallieConnect is our proprietary syncing engine that allows for instant data transfer between Tallie and QuickBooks for Windows. The newest version brings a lot of great features including: Hosted Environment mode, instant activity-based sync back to Tallie when a change is made in QuickBooks (provided TallieConnect is running), ability to auto-upgrade TallieConnect versions in the future, and much more. Typically, payment memos on bills, checks and credit card charges are populated with Item Description, a field that is synced between Tallie and your accounting or bill pay system. However, we’ve received many requests to be able to customize the memo based on the specific transaction. We now offer customization on both the individual Item and the Export Settings pages. This feature is compatible with every Tallie integration, which includes QuickBooks for Windows, QuickBooks Online, Xero, Bill.com and Intacct.

Completing the Automated Expense Workflow: Tallie & Bill.com Now Integrate Non-Reimbursable Credit Cards

Non-reimbursable credit card charges have been the Achilles’ heel of the automated expense management workflow. Seamless data integration exists for reimbursable expenses, but manual steps or workarounds were common answers for non-reimbursables. An integrated solution for non-reimbursable credit card charges was one of the biggest requests from our Bill.com clients.

This month, Tallie and Bill.com implemented their first non-reimbursable credit card import integration. From expenses paid out of pocket to charges incurred on the company card, Tallie now has the capability to manage and export non-reimbursable corporate credit card charges into Bill.com, covering every scenario.

Consider this scenario:

Conor, an up and coming sales rep, takes a taxi to a business lunch at Bix and uses his company credit card to pay for his cab ride. After a deal-closing lunch meeting with his biggest lead’s CEO, Conor accidentally uses a second, different corporate card to pay for lunch and snaps a picture of the receipt. During his cab ride home, he realizes he left his wallet at Bix. Fortunately, Conor was carrying enough cash on hand to pay for the taxi out of pocket, and he uses the Tallie app to snap a picture of that cab receipt.

3 days later, Conor sees Tallie has processed all the receipts (displaying merchant, date, amount and expense categories). He also notices Tallie has connected the Bix lunch receipt to the other company credit card charge, automatically. At once, Conor can submit one expense report and he’s done. That expense report, with charges from two separate company cards and a reimbursable expense on it, can be exported in one swoop directly into Bill.com.

Here’s a guide to how non-reimbursable corporate credit card charges can be imported into Bill.com and how the additional features ensure you and your team are successful – even in the situation described above.

First, Tallie can now import non-reimbursable Corporate Credit Card charges into Bill.com and gives you two options.

With this setting, Tallie will create a bill to your Credit Card vendor with each charge listed on the bill as a line item.

Alternatively, you can have Tallie create separate bills for each credit card charge imported. This feature is especially useful if you want to match each imported bill with line items on a credit card statement.

Several additional features also included in this release:

  • Marking Imported Bills as Paid 

If this option is selected, each imported bill will be marked as paid to your selected account. If you don’t want to send a payment to your Credit Card company through Bill.com, simply mark this as your preference and Tallie will import these bills as paid.

  • Separating Reimbursable Expenses and Charges from Multiple Cards

If an expense report has reimbursable charges and non-reimbursable charges on it, Tallie will separate those into two bills in Bill.com. Additionally, if one expense report has charges from multiple company cards, Tallie will create separate bills for each, mapped to the correct vendor and account in Bill.com.

  • Importing Negative Amounts as Vendor Credits

If the total of the Corporate Credit Card expenses on a given report is negative, we’ll create a vendor credit. If the total of the report is >$0, the negative line items will import as regular line items.

New in Tallie: Email Receipt Processing for Audit-Ready Expense Management

Today, we are pleased to announce that any email-based receipt – whether it comprises text, image, html or includes an attachment – can be forwarded to receipts@usetallie.com for immediate receipt processing in the Tallie expense management workflow.

Tallie expense management software processes email receipts, better preparing companies for audit with original images of receipt files delivered directly to Bill.com and/or SmartVault on export.

When an email receipt reaches Tallie, a high resolution snapshot of the receipt is collected by the system as an original file for reference in the approval workflow. While this snapshot is generated, the receipt is sent through our standard receipt processing service wherein the file is scanned for merchant, amount and date information. Just like all other receipts, an expense is then created in the user’s Tallie account populated with the snapshot alongside the scanned merchant, amount and date information. Tallie captures high resolution images of all types of original receipt files to establish the critical first step of an audit-ready expense management process.

Together with our integration partners Bill.com and SmartVault, Tallie closes the expense management audit loop by delivering all original receipt images directly into one or more of these systems on export. In Bill.com, all expense reports exported as bills are now accompanied by high resolution receipt image files as well as expense report summary files, which are always referenceable from synced accounting systems. When using the SmartVault toolbar in QuickBooks for Windows, high resolution receipt image files are mapped directly to transaction line items.
