New Receipt Controls: Ability to Zoom in and Download Original Files

In our most recent mobile app release, we introduced the ability to zoom in on receipts so you can review them in closer detail. This functionality is now supported in Tallie web as well. Simply hover over a receipt and click anywhere to activate the zoom feature. The “Original” link in the upper-right corner of the receipt window will allow you to download the file in its original size. These new functions are available for receipts in all stages of Tallie.

Statement Upload Now Supports Credit Card Subaccounts

We understand that credit card transaction management is mission-critical for your expense report software. We’ve further improved our statement upload feature to add subaccounts support. Rather than requesting the bank to provide you with individual files for each subaccount, you can now upload a single file that contains several subaccounts to Tallie. Our transaction file processor will detect the total number of subaccounts in the file, feed transactions to existing subaccounts and create new accounts for unrecognized card numbers. With this feature and our very own credit card integration, Bank Data Delivery, we will be able to provide unparalleled credit card transaction management for an even larger portfolio of financial institutions across different sizes.

3 Surprising Ways Nonprofits Can Reduce Their Environmental Footprint

Going green has been a top priority in the corporate and nonprofit communities for years now, and it isn’t hard to understand why. Efforts to reduce an organization’s environmental footprint aren’t just beneficial for the planet — they reduce operating costs, boost the group’s mission-driven integrity, and attract and retain top-notch employees and volunteers, according to NeighborWorks America.

These initiatives are especially pressing for nonprofits. Every resource must be tracked and accounted for, and ensuring nothing goes to waste is incredibly important.

Introducing Tallie Time — Tallie Expense Report Software 12.1 Release Notes

Since the launch of Tallie, we’ve been regularly adding new features and enhancements to the product, with the goal of bringing you the expense-tracking software that saves you the most time. Over the last year or so, we realized that our customers were looking for a comprehensive time and expense product all in a single application. Our focus in the last couple of months has been to build a new time-tracking product within Tallie, designed and developed to share the same experience of Tallie Expense. With this release, we’re excited to introduce Tallie Time as a beta product! This is a restricted beta, as the product is best suited for customers who track time for customer billing purposes. Enter time with just a few clicks or taps

Creating time entries in Tallie is just as simple as creating expenses. We’ve added a new “Track Time” permission to user profiles for customers who have Tallie Time beta enabled. For those users with the Track Time permission, a new Time entry page can be found in the top navigation bar of the web app and a Time entry mode can be accessed from within the Tallie mobile apps.

The latest mobile apps v4.1 are now available in the App Store and Google Play. This release features time-tracking functionality and various bug fixes. Users with the Track Time permission will be able to create time entries by tapping the plus button in the Android app, or toggling to Time at the top of the screen and tapping the plus button in the iOS app.

Creating time entries in Tallie mobile apps is as simple as a few taps.

When entering time, the mandatory fields are date, duration and time type. In addition, users can map the appropriate dimensional data, including project, customer, class, department, and location to a time entry, or flag a time entry as billable to a client. The availability of these fields are all controlled by the admin settings within Tallie, giving you more control over how your users track time. Additionally, users can choose to record time against a single day or multiple days from the same dialog screen.

Email notifications make time approval easier than ever

If you use Tallie to track expenses, you have experienced the convenience of email approval and rejection. Whenever someone submits time, the time approver will receive a notification within a few minutes to either approve or reject directly from the email. In order to prevent approvers from getting inundated by approval notifications, time entries submitted within a certain timeframe will be included on the same email.

In case of a rejection, the submitter will receive a rejection notification so they’ll know to edit and resubmit in a timely manner. Approval notifications go to the executive assistant(s) of the submitter and the approver as well, if such role has been configured in your account.

We’ve added a new Time Approval page under the Approval tab. If your enterprise has both Time and Expense enabled, you’ll be able to easily switch between the respective approval pages. Time entries are grouped by pay periods, and approvers can select one or a few pay periods and approve them from this page. Similar to the Expense Approval page, there’s a “View approved entries” in the upper-right corner which has an archive of all time entries previously-approved by the approver.

Clicking on a pay period will take you to a page where you can browse all entries pending approval, grouped by submitters. There are three different ways to approve or reject. First, you can click Approve All/Reject All to mass approve/reject entries submitted by a user. Second, you can hover over the down arrow on the far right and click “Approve Time Entry” or “Reject Time Entry” in the action menu to approve or reject individual entries. Finally, you can select a few entries and hit “Approve Selected” or “Reject Selected.”

Export time to QuickBooks Online and/or payroll

Any user with the Export permission can access the Time Export page and export from there. The primary view of Time Export page is made up of two sections: Pay Periods ready for export and batches of time entries in the process of export.

Clicking on a batch or a pay period on the Time Export page will show you the content of the batch or the pay period, where time entries are grouped by submitters. From here, you can then drill down further to the user view.

All Tallie integrations are supported for data sync, however, QuickBooks Online Plus is the only accounting software supported for direct time export during the beta period. For other accounting software users, we have updated our CSV export feature to incorporate the time-related additions. This will allow you to export time data from Tallie as CSV files and upload them to your payroll provider and/or ERP.

New Affiliate client templates significantly reduce the workload when creating a new client

Many of our accounting partners (affiliates) have standardized on specific customer configurations, with certain features, expense categories, etc. made available to similar clients. The goal behind affiliate templates is to streamline the process for creating standardized resold client accounts by allowing affiliates to create templates based on existing clients’ settings and to select a specific template when creating a new resold account. If you don’t have a standardized process, just select the default expense template.

To create a template based on a client, click on the pencil icon on the right side of the client’s name in Reseller Management portal. At this time, only expense settings are included in affiliate templates.

The Fastest Expense Coding You’ve Ever Seen: Tallie 11.2 Expense Report Software Release Notes Featuring Spreadsheet View

We’ve been working on a new feature on the Purchases page for the past few months and we’re excited to unveil it in this release — the Purchases Page Spreadsheet view! Built with usability and efficiency in mind, the Spreadsheet view is the easiest-to-edit view on the Purchases page thus far. In addition, we implemented notifications to approvers when reports have been unsubmitted, added support for export as draft to Intacct, and addressed a variety of export issues that were raised since the last release. Read on for more details!

The much-anticipated Spreadsheet view is now live! In the upper-right corner of the Purchases page, you can now switch between the Tallie signature tile view, the table view, and the latest Spreadsheet view. The Spreadsheet view is designed to provide power users a way to rapidly code and edit expenses by incorporating tab and return commands to navigate between cells. By displaying all expense details in individual cells, the Spreadsheet view also offers enhanced visibility.

Similar to Microsoft Excel, hitting the Return/Enter key saves the current cell’s content and navigates to the cell below, and the Tab key moves the cursor to the cell on the right after saving the current cell’s content. The Tab and Return magic doesn’t end here. Holding down the shift key and hitting Return saves the current cell’s content and takes you to the cell above it, while Shift + Tab saves the current cell before moving the cursor to the cell on the left. Just like Tile and Table views, use the category icons to select a few expenses. Once these expenses are selected, you may choose to edit all, delete all or start a report with the selected expenses.

We released Spreadsheet as a beta feature as we continue to fine-tune it, and we’re excited to hear your feedback and suggestions if you have any! Please note at this time Spreadsheet view is not supported in Firefox or IE browsers (including Edge).

Export Expense Reports as Draft to Intacct

The majority of our Intacct customers rely on Tallie to handle their approval process for expenses prior to export to Intacct. However, some of you have requested additional flexibility to allow for later approval processes in Intacct after export from Tallie. In order to serve your needs, we now offer export to both the Accounts Payable module (bills) and Time & Expense module (expense reports) in Draft state, in addition to the already-supported Approved state. Please note that a manual process is required in Intacct to mark these Draft bills and expense reports as Approved prior to payment.

Tallie now sends a notification to anyone who received an approval email when the report has been unsubmitted, regardless of whether they’ve approved the report or not. (We released this feature early so you might have noticed it already!)

    • Intacct Users: Stalled sync issue observed in Tallie accounts connected via Console credentials is fixed.

    • Fixed various export issues, including page refresh being needed to see export error details, exported reports not being marked as Exported, incorrect expense item status messages when export destinations are split, hidden export errors causing reports to be stuck in Queued, reports being stuck in Queued when QBO token is bad, and various incidents of reports being stuck in export states that were unrelated to TallieConnect or QBO statuses.

Corporate Credit Card Changes Coming Soon

With each Tallie release, we try to improve and enhance our customers’ experience, particularly in areas of critical importance. Soon, we will be releasing some changes to our corporate credit card transaction importing functionality, which may require some planning and adjustment for our customers. We know it’s important for our customers to plan ahead for change, which is why we’re sharing this information now. The end result will be a much improved experience, and our Product Experts will be available to help you if a change is required. Read on for our planned changes:

Introduction of New Bank-Direct Data Transfer Connections

Beginning in early December, we will begin offering a brand new service for corporate credit card management. Tallie will give you the tools to establish an agreement with the issuing bank for each of your credit cards which, once signed, will grant the authority to the bank to provide regular transfer of credit card transaction details for all cardholders directly to Tallie, without any intermediary.

Upon release, we will be able to support standard data feed formats from American Express, Visa and MasterCard. If you hold a different brand of card, please reach out to our Product Experts to review the potential data formats available.

Early Action Steps
Tallie will not be offering beta access, however you may work with the Product Expert team to get the agreement in place with your bank and begin the data transfer process early. This will allow the Product Expert team to confirm data is being received properly and ensure that you will be able to take advantage of the feature when it is released.

Guaranteed Multi-Card Support
As long as the bank provides identifying details in the transfer file to distinguish between cards, such as last four digits or cardholder name, Tallie will automatically recognize each card’s transactions and route those to the appropriate card.

Planned Sunset of Third Party Aggregation Feeds for Card Accounts with Multiple Cardholders

At the end of the year, we will terminate support for our multi-cardholder credit card feeds from third party card aggregators in favor of our new bank-direct feature. Single card feeds will not be affected by this change.

Troubleshooting Tips
If a multi-cardholder feed experiences an issue between now and our termination date, our Product Experts will offer you one of four interim solutions:

  1. If the card is issued by Chase, American Express, Citi or Silicon Valley Bank, a Product Expert can work with you to establish a “direct connect” OFX connection between Tallie and the bank
  2. You may request individual login credentials from the bank for each card, then connect directly to each of these cards via an aggregated feed
  3. You can create a profile for statement upload for each card, then perform a statement upload procedure on each profile
  4. Begin the process to establish a bank-direct data transfer connection early by reaching out to your Account Manager

Critical Information at Your Fingertips: Tallie Expense Report Software 11.1 Release Notes

There’s been a mantra around the Tallie offices in the last few months — we’re on a mission to ensure a seamless expense report software management process for our client administrators. It’s a complex process to keep all your systems in sync, so we strive to keep it simple and functioning smoothly.

With that in mind, Tallie engineers have created a more robust export experience for our software release version 11.1 that provides you with more comprehensive status and historical information than ever before. Additionally, we’ve added a few enhancements to our integrations (particularly Intacct) and will begin sending out invoice and payment confirmation via email with the next billing cycle.

Export Status Tracking

Prior to exporting to any integrated system, Tallie has always run each expense report through a comprehensive validation process, where Tallie validates that all mapped entities on the report are active and properly linked to entities in the accounting system. If errors are found, the report will be placed in error state with specific steps towards remediation indicated. Once validation is complete, Tallie processes the expense data into a format appropriate for transmission to the target system and finally delivers the data. In version 11.1, we are now displaying to our users exactly which expenses and reports are validating or processing at any given time, before being transmitted. We hope this further transparency will help with troubleshooting and understanding of our process.

What does Queued Status Mean?

If a report remains in queued state for a duration of time, Tallie is waiting to connect to the integrated system. QuickBooks Desktop customers can clear reports from queued state by signing in and connecting TallieConnect.

Expense Export History

Tallie’s powerful multi-destination export logic is capable of breaking apart a report and exporting it to a wide variety of destinations, including payroll files, practice management files, accounting systems and bill pay systems, all with the click of the Export button. With this power comes great responsibility, so we’re now appending an export history record to each individual expense on the export page. This history area will communicate to you where each expense has been exported and the most recent date/time of that export action.

Email Notifications for Subscription Billing

Tallie regularly bills our clients at the close of the month. We’ve made our invoices available in the Billing area of Settings for quite some time, but now we’re also going to send each system administrator an email with the full invoice prior to charging the credit card, and a follow-up receipt once the payment has gone through. We hope this helps you better track your Tallie costs. Please note that if you are on the Enterprise Plan, you may not receive these emails as regularly. Please refer to your signed agreement for your billing cadence.

Additional Feature Enhancements

  • Intacct Users: You can now mass update selection of export enterprise (Export Expenses To) on People page.

  • Intacct Users: Your account can now be configured so that managers from Intacct are no longer assigned as approvers during sync. Please contact Support for system configuration.

The last few releases have featured improvements based on these important relationships, and this mini release is no different. We made some small changes that we believe will help save time in the accounting cycle — we hope these tweaks will save you some time too.

Forward a Receipt from Your Email…and Pick Your Destination!

Let’s say you’re the business owner of three different restaurants and making regular purchases for each or perhaps you’re a staff accountant processing expenses on a regular basis for 10 different outsourced accounting clients. In both cases, because sign in privileges are based on email address, you have the ability to sign in to Tallie on the web or mobile app and switch between a variety of company accounts. However, if you’re forwarding email-based receipts we haven’t had a method to designate a destination company account, so Tallie has sent those email-based receipts to all connected company accounts.

With this mini release, we’re introducing a new feature that lets you designate a company account destination for each emailed-in receipt. Simply edit the subject line of the email to include the name of the company account and that emailed-in receipt will be sent to that company account only.

If you ever have any questions about which company account you’re currently using, just check the top right corner of your screen while signed in to the Tallie web app, or access the company-switching menu in the mobile apps.

Account-switching functionality is accessed within the mobile apps by tapping the 3-line menu in the upper left of the main screen, then tapping on your name.

Improved Searching by Accounting Codes

In our 10.10.2 Mini Release we allowed for searching in all lists by accounting codes, giving power users more tools for coding their expenses. In this release, we’ve updated the appearance of those drop-down menus so that codes stand out as visual tags, enabling users to choose to focus more on codes or names, depending on their preference.
