Tallie Expense Reports – 10.6.9 Release Notes

We’re quickly approaching the second half of 2015, but the Tallie Team hasn’t slowed down one bit. We’re excited to announce some exciting product updates for our customers including enhanced Groups features, updated concatenation functionality for custom CSV exports, and improved “Print to PDF” functionality. Take a peek:

Using Groups to Control Extensive List Data

In addition to expense categories, Tallie administrators can now use Groups to limit which employees can select which Customers, Projects, Classes, Departments and Locations. This update provides further control with ease for our clients with more extensive and complex back-end setups.

How It Works: To add a Project, Class, Location, etc. to a Group, tracking for that list item must first be enabled in Tallie’s Features tab.

If a user is in more than one Group, the access restrictions are accumulative.

Example: If Group A is restricted to Class 1 & Class 2 and Group B is restricted to Class 1 & Class 3, then a person who is in Groups A & B will have access to Classes 1-3.

If a Group does not include the selection of any option for a given list item, then this is considered a non-restriction.

Example: If Group C has no listed classes, then a person who is in Group C will have access to all classes. This non-restriction does not override any restrictions in place for the other groups, so a person who is in Groups A, B & C will still only have access to Classes 1-3.

Projects Resources and Groups for Projects behave together in a subtractive way.

Example: If you’re listed in the Project People tab for Project A and B, and your group grants you access to Project B & C, you effectively only have access to Project B.

Groups: Active List Data & Restrictions Viewing Options

From the list view, Tallie administrators can now choose to activate or deactivate the Groups they’ve created (see image). Additionally, the list view now displays all active list data restrictions (i.e. Projects, Departments, Classes, Customers, and Locations).

NOTE: If restriction for a list item is not turned on, the item label will be hidden.

Concatenation for Custom CSV Export

We’ve expanded Tallie’s existing concatenation functionality to now work for both Custom Export and CSV templates.

How it Works: To concatenate values into a single row, simply assign the same column header to more than one row. If you need spaces between the values, insert a row with -None- for the Tallie field and a space as the fixed value, or you may also use symbols as needed.

Example: In the image below, we’re exporting a concatenated field for “Project | Class.” We can do this by applying the same column header to a row for Project Name, a row with “ | “ for the fixed value, and a row for Class. The concatenated field will populate in the first column that uses the column header.

Print to PDF Improvements

Signature Lines are back! Based on customer feedback, we’ve brought back Signature Lines to “Print to PDF” expense reports. This feature is helpful for Tallie clients who prefer to provide their customers with signed expense reports for invoicing purposes. Signature Lines are now available for both “Print” and “Print to PDF” options.

We look forward to hearing how these upgrades have made managing your expense reports even easier! If you have any questions or comments, feel free to reach out to our Product Expert team at support@usetallie.com or by calling 888-874-1118 Ext 2.

Weekly Roundup – Tech and Accounting

Welcome back to Tallie’s weekly roundup! This week we take a look into how you can prepare for automation, the FIFA corruption case, Google Photos, the possibility of Snapchat going public, and our favorite app of the week. It’s another great week for tech and accounting!

Accounting News

1. Don’t hesitate to automate! Here’s how you can prepare:

Jim Boomer, CIO of Boomer Consulting gives some advice to any company or accounting practice looking to automate their accounting services. Organizations have to start identifying and offering services that move them up the value chain with their ever modernizing clients. Moreover, employees must utilize their expertise and decision making skills to stay competitive in the future job market.

2. FIFA gets ‘red carded’ by the IRS:

The big news in the accounting this week involves the international soccer giant FIFA. The IRS, FBI, and numerous international agencies have officially charged 14 high ranking officials in the Fédération Internationale de Football Association (FIFA) with counts of racketeering, bribery, wire fraud, and money laundering conspiracies. These are all in relation to a long-standing conspiracy to corrupt international soccer. We love soccer at Tallie but we don’t love fraud anywhere, including in your expense report process.

Tech News

3. Snapchat might go public soon:

Snapchat CEO Evan Spiegel reveals his plan for an initial public offering. The company has around 200 million active user and is currently worth $10 Billion. Additionally, Spiegel gives his views on the future of the tech industry.

4. The latest from I/O – Google Photos is here!

At Google I/O on Thursday, Google announced their release of Google Photos – a way to store and manage photos without needing to to use Google+. You can also tag photos and make .gifs! The service is free and offers an ‘unlimited’ amount of storage. Also announced at Google I/O are numerous updates to Android OS, Chrome, and much more.

Tallie’s Favorite App of the Week

5. Tallie’s app of the week comes from our pals SmartVault:

Think of SmartVault as a sort of receipt shoebox optimized for the cloud. It stores documents and images of many different file types that are accessible from any device. Need to whip up an expense report quickly? No problem. Drag and drop your receipt images from SmartVault straight into Tallie and we’ll automate most of your data entry from there. It’s that easy.

Weekly Roundup – Future of Accounting, Tech, and New Partnerships

Welcome back to Tallie’s weekly roundup! In this week’s edition we dive into the benefits and adoption rate of automated accounting technology, new tech partnerships, our favorite app of the week, and the latest in the Tallie world. It’s a great week for tech and accounting!

Accounting and Tech News

  1. Innovation is the name of the modern game.

Accounting Today Editor-in-Chief Dan Hood and CPA.com CEO Erik Asgeirsson discuss the role of cloud technology in business in addition to the current adoption rate of new accounting technology. The early adopters and early majority have already integrated cloud accounting into their practice, now we’re starting to see shift to the late majority. Dan Hood also argues that new opportunities for success will open up to your business if you decide to adopt cloud technology.

  1. Can automation work for you?

Kris Merritt outlines the benefits of cloud-based automated accounting software – such as time saving, cost management, compliance control, and painless expense reporting. With the right automated accounting and expense management tools, your business can really thrive from saving time and money and by having the freedom to focus more on other tasks.

  1. I’ll take an extra shot of Spotify, please!

Tech’s most freshly brewed partnership is Starbucks and Spotify. If you are a customer (or an employee) of Starbucks and you are a Spotify Premium subscriber, soon you can literally pick the playlist for your coffee purchasing and drinking experience. This partnership is the latest of many strategic relationships with Spotify and other major organizations, including Vice and Comedy Central.

Tallie’s Favorite App of the Week

  1. Tallie’s favorite app of the week is Xero!

Xero is an extremely sleek, efficient, and powerful cloud-based accounting solution designed for small businesses. On top of it all, it’s easy to use and you can access your data on multiple devices. Want to integrate it with a third party software? Xero has a marketplace for integrated softwares like Tallie right on their website. Cloud accounting just got easier.

Weekly Roundup – Accounting, Tech, and New Partnerships

Welcome to Tallie’s Weekly Roundup! In this space, we’ll keep you up to date with news and events from the accounting and tech industries and beyond. Topics featured this week include new software partnerships, the future of accounting, Disrupt NY, our favorite apps, and news about Tallie.

1. The Dynamic Duo of Integrated Software
They were once competitors, but now they’re partners.  Earlier this week, Microsoft and NetSuite announced a cloud alliance, which means you can now use NetSuite ERP and Microsoft Office in the same interface.

2. Evolve with the cloud or step aside
Dan Burrus, the Maryland Association of Certified Public Accountants (MACPA), and the Business Learning Institute (BLI) are releasing a tool called  “The Anticipatory Organization: Accounting and Finance Edition” that intends to instill a proactive anticipatory mindset in CPAs. They must identify new industry trends adapt to new accounting technologies or they will not stay competitive.

3. Clean water newcomer wins Disrupt NY!
The winner of this year’s Disrupt NY Battlefield is Liquidity, a startup company based out of Alameda, CA that specializes in making nanofiber based water filters that are adaptable to multiple kinds of filtration systems. Their filters can even go on top of a water bottle, so you have access to clean drinking water wherever you go. This is huge for consumers everywhere who do not have access to potable water and are in danger of contracting common diseases like E. coli and Salmonella.

Tallie’s App of the Week

4. Our favorite app of the week comes from one of our pals, Quickbooks Online.
Quickbooks Online is awesome because it’s flexible for your small to medium sized business, stores your data in the cloud, and you can access it from your PC, smartphone, and tablet. Also, if you integrate it with a software like Tallie, all of your employee and client data will effortlessly transfer over.  No problem.

5. Moss Adams, LLP is now using Tallie for their expense reporting needs.

Earlier this week, we announced our partnership with Moss Adams, LLP, the 15th largest accounting firm in the nation. “Tallie is part of the ecosystem of tools that are shaping the future of the industry,” said Larry Kammerer, Partner at Moss Adams. “Our outsourced accounting team chose Tallie because they have the expense solution that saves time and money. Use Tallie’s Expense Reports & Internal Controls to Stay IRS Compliant Year-Round

A 2014 study by the Association of Certified Fraud Examiners estimates that organizations lose an average of 5% revenue to fraud each year. Without strong internal controls, a company is at risk for theft, misappropriation of funds, and a major audit. Here’s how to use Tallie’s automated expense reports to prevent fraud and stay IRS compliant year-round.

Create (and automatically enforce) thorough company policies.

You cannot prevent expense fraud without first establishing clear, specific company policies. For example, you may permit employees to expense WiFi fees at a conference, but only up to $20 a day. Of course, even the most thorough policy is useless unless it’s properly enforced. Miscommunication, a lack of awareness, and ineffective management can expose a company to fraud and a potential audit.

Historically, the reinforcement of these policies has been tedious and time-consuming. Accountants had to manually respond to violations, re-educate employees about the company policy, and then wait for a corrected expense report. Now, modern expense report software eliminates the need for these manual processes.

Companies that automate internal controls not only save time and cost, but also decrease the likelihood of fraud. Tallie’s policy engine lets you create custom expense policies based on category, dollar amount, project, class and more. Any expense that violates these policies is automatically detected, and the employee is notified immediately.

If an employee doesn’t understand why their expense was in violation, they can simply click the “Out of Policy” alert to learn more. This not only prevents unnecessary errors, but helps ensure that employees remember the company policy while making future purchases.

Keep expense reports IRS-compliant with timely and accurate records.

IRS Publication 463 requires that your records be not only accurate, but timely:

“You should record the elements of an expense or of a business use at or near the time of the expense or use and support it with sufficient documentary evidence.”

(Publication 463, Cat. No. 11081L, Page 26)

Submitting your expense reports with Tallie satisfies both of these requirements. In the event of an audit, the IRS will expect you to provide consistent and complete records of all purchases and reimbursements, complete with legible receipts. To ensure you’re recording “sufficient documentary evidence,” we recommend using Tallie’s policy engine to require a receipt for any expense over $75, as per IRS document 463, chapter 5.

One of the major benefits of expense report software like Tallie is the ability to throw away your receipts after you’ve captured their image. But will the IRS really accept a picture of a receipt in lieu of the original?

Believe it or not, the IRS has actually accepted electronic documents, including scanned receipts, since 1997 (IRS Revenue Procedure 97-22). In order to be considered valid, the receipt (or receipt image) must include the merchant’s name and address, the transaction date, the amount paid, and the business reason for your purchase. All of this information can be stored within Tallie for easy access in the event of an audit. No more hunting through shoeboxes!

Tallie also allows you to store your receipts within your chosen accounting system. Exports to QuickBooks Online and Intacct include your receipt images as part of an attachment to the Bill (Intacct) or Bill/Check/Expense (QuickBooks Online.)

QuickBooks Desktop users can take advantage of our direct integration with SmartVault, where their electronic documents can be stored and retrieved on demand.

Tallie is the best expense management solution for strengthening your business’s internal controls. You create your custom policies within Tallie–we’ll automatically enforce them. Want to see how? Schedule a free, 1-on-1 product demo with one of our experts.

FORBES: Tallie’s Expense Report Software Selected by H&R Block Small Business

As you may have heard, H&R Block recently selected Tallie as the exclusive expense reports solution for its Small Business Services. Tallie’s automated features are set to save H&R Block’s small business clients money, as well as countless hours of time spent on expense management.

On Friday, Ben Kepes wrote an article for Forbes.com explaining why this partnership is so important for small businesses:

“The reality [used to be] that integrating discrete solutions [was] time and resource-heavy and hence impractical for SMBs. If you’re an enterprise you have an IT shop with time to create custom integrations between the different solutions you use – not so for a SMB. The result, therefore, was that SMBs generally chose a monolithic solution that had as much of their functional needs as possible. Anything else was generally resolved with paper-based processes.

The rise of the cloud has changed all that. Enabled by application programming interfaces (APIs), the building blocks that let applications be readily integrated with each other, we now have a paradigm where SMBs can chose a range of different solutions and (theoretically at least) plug them in together as they see fit – so SMBs will take a core cloud accounting product, bolt on POS, HR and expense functionality and create for themselves a highly specific solution.

. . .  H&R Block is now able to offer an automated expense management solution to their customers, and thus end the annual ritual of taking ones filing agent a shoebox full of receipts. Not only will Tallie help the “shoebox syndrome” it also offers quality-assurance functionality – duplicate and error prevention and auto-categorization of expenses for example.”

We’re thrilled to be helping so many small businesses streamline their workflow, prevent expense fraud, and integrate their entire accounting system. To learn more about what makes Tallie and H&R Block Small Business Services so special, read the full article over at Forbes.com

Tallie Expense Report Software Endorsed as CPA Practice Advisor “Top 9 Must-Have Apps for Accounting Professionals”

Our team is honored to announce that, earlier this week, CPA Practice Advisor endorsed Tallie’s expense report software as a “Top 9 Must-Have App for Accounting Professionals!” We are humbled to be recognized alongside such household names as: Evernote, TripIt, Uber, Dropbox,  AroundMe, Flipboard, Google Maps, and Starbucks. This honor adds even greater fire to our promise of delivering the premier expense report software solution for businesses and accounting firms alike.

Here are the features we think contributed to Tallie’s recognition:

1. Enjoyable, Enterprise-Grade Software

Our team is most excited by the fact that the other eight apps featured on CPA Practice Advisor’s list are consumer apps well-known for their enjoyable user experiences. In fact, Tallie is the only accounting software featured on this list. Our reputation in the accounting community rests on our ability to provide enterprise-grade services without sacrificing simple, intuitive design. We’ve always prioritized customer satisfaction, whether they be accountants or end users–Tallie was designed to please.

2. Truly Bi-Directional Integrations

Tallie’s ability to meet the needs of every business, regardless of their size or workflow, wouldn’t have been possible without first-hand experience with the world of accounting. Therefore, it should come as no surprise that our expense report software was built by actual accountants. You can see it in the features we build, such as one-click multi-exports, and the ability to neatly import project & class into your accounting system. Our bi-directional integrations are what really sets us apart, allowing Tallie to fit seamlessly into your company’s pre-existing accounting system without hassle or compromise.

Available on both Android and iOS, Tallie has been praised as a critical component for any optimized accounting workflow. Boomer Consulting CEO Gary Boomer affirmed that Tallie has “reduced expense reporting time by at least one hour per week and integrates directly with Bill.com and QBOL.” He goes on to say that “it has also reduced others’ time in the processing and integration of expense reports with Bill.com. The workflow is built into the app and the support is excellent.”

3. Lifetime of Live Support

Every Tallie account includes lifetime access to Tallie’s Product Expert Team. Period. This includes same-day account setup with a technical expert, new customer training sessions, continuous education, and bottomless access to our U.S.-based technical support team– available via telephone, email, online, or carrier pigeon. We also make training resources available 24/7 in Tallie’s Resource Room.

4. Delightfully Easy

We believe that all software should be simple to use, and expense report software is no exception. Tallie has been described as the “easiest mobile expense app for traveling teams” by Andrea B. of AccountingDepartment.com. See for yourself what current Tallie clients are saying about their experiences on the Intuit App Center. You’ll notice that the majority of our reviews highlight how easy Tallie is to set up and start using. Nothing makes us happier than knowing that we’re saving our customers time, money, and headaches. Words like “simple,” “intuitive,” and “easy,” are like music to our ears.

The Tallie team is thrilled and honored to receive this recognition from CPA Practice Advisor, the definitive resource for tax and accounting professionals in the public practice. If you’d like to see how our award-winning cloud-based expense management solution can work for your business, schedule a personal Product Demo or give us a call at 800-592-5144.
