Tallie 10.6 Release Notes: New Features for Intacct Admins and Tallie Product Enhancements

Version 10.6 of Tallie is now live! Read on to learn about our new Intacct enhancements, expense tile preview, mass update for expense categories, support for custom list names, and more!

New Features for Intacct Administrators

Five Dimensions Selectable on Each Expense

Admins can visit the Features page to choose which dimensions users may select when entering new expenses. This includes support for the five standard dimensions, and allows users to select not only on the expense category, but the following: Project, Customer, Department, Class and Location.

Tallie-expense-reports-five-selectable-dimensions

Exporting to Cash Management and Creating Charge-Card Transactions

Most Intacct users manage credit card transactions one of two ways. The first is through AP, creating a bill in Intacct to debit the corresponding bank account. The second is through the Cash Management module with Charge-Card Transactions, which Tallie is now proud to support.

To set up the latter in Tallie, simply to go Integrations & Sync, click on Export Settings and set the Non-Reimbursable Expenses to Charge Card Transactions.

Tallie-expense-reports-non-reimbursable-expenses-charge-card-transactions

After selecting your export preferences, you may add your card and designate it as non-reimbursable. It can then be mapped to the appropriate Cash Management Account and corresponding charge card account in Intacct.

Upon export, go to Intacct’s Cash Management, then click on Charge-Card Transaction to see the list of charges.

Tallie-expense-reports-intacct-charge-card-transactions

Each expense item will be listed as a separate transaction. If itemized, any itemizations appear within the transaction.

Support for Custom Dimension Names

One of Intacct’s strengths is the flexibility it gives users, such as the ability to rename dimensions. Now, Tallie allows lists to be re-named to match the preferences of the accountant and their supported system.

To enable this feature, first go to Company Preferences, then Customize, and click Rename List. This will take you to the following menu, where you can rename both the singular and plural of each of the list names – keeping the expense submitters on the same page as the rest of the organization.

Product Enhancements

Mass Update for Expense Categories

Tallie’s Mass Update option (found in the Manage Lists area), allows you to apply your change(s) to multiple selected items at once. With this release, Mass Update can also be used for Expense Categories. This enhancement allows admins to make changes in active status or payment memo in one fell swoop.

Features Page: Review of Expenses Tiles

As before, the Features page allows you to determine which expense data should be selectable or subject to certain rules. Now, you can preview how the expense tile will look to users.

• Georgian Lari (GEL)
• Czech Crown (CZK)
• Phillippine Peso (PHP)
• Ukrainian Hryvnia (UAH)
• Polish sloty (PLN)
• Zambian Kwacha (ZMK)

The currency drop-down has also been replaced with a scroll bar to make it much easier to navigate to your desired type.

Example of the Currency Scrollbar:

Merge Expenses in Approval and Export areas

Admins can review, check and approve expenses on both the Approval and Export pages. Now, Tallie’s merging capabilities have been expanded to allow admins to merge Unsubmitted expenses with those that have already been Submitted and/or Approved.

BIG NEWS: Automate your Expense Reports with Tallie + Xero

Tallie-Xero-Integration-expense-reports

You asked for it, and now it’s finally here! Tallie is proud to announce our deep, real-time integration with Xero. Look for our expense management app on the Xero Marketplace and start automating your small business’ expense reports right away.

Here are the highlights:

  • Full support of Xero Tracking Categories.
  • Sync Employees regardless of region.
  • Real-time data sync from Tallie to Xero.

Robust Tracking Category and approval support.

Xero allows businesses to keep two active Tracking Categories at any given time. Now, Tallie is the first expense report solution to let Xero users map their custom Tracking Category names to the accounting list of their choice (such as Departments, Classes and Projects.) This provides account administrators with a convenient way to take advantage of Tallie’s powerful list-specific features.

For example, a business might choose to track expenses based on custom Xero Tracking Categories “Region” or “Line of Business.” That company can now map “Line of Business” to Tallie’s Classes, allowing for configuration at multiple levels per our class hierarchy. By syncing a Tracking Category with a Project, they can also take advantage of our robust Project approval loop, and assign specific approvers based on projects and sub-jobs.

To sync a Xero Tracking Category with one of Tallie’s list items, first visit the Integrations & Sync page. Then click Sync Settings.

Tallie expense reports xero sync settings

Click Connect to Xero to authorize the data sync and import your active Xero Tracking Categories. Then, use the drop down menu to select a corresponding Tallie list item. Press Start Sync.

Tallie expense reports xero tracking categories

As per the above example, any expense given a particular Class or Location in Tallie is automatically assigned the matching Tracking Category when exported to Xero.

Sync Employees, no matter your region.

Depending on your region and subscription, Xero supports employee lists through either the Payroll or Contacts modules. Either way, Tallie syncs your employee data and ensures that any edits made to employee records in Tallie are immediately updated in Xero. No additional configuration required. If your company’s subscription doesn’t include Employee support in Xero, you may also import a list of users via spreadsheet.

Real-time data sync from Tallie to Xero.

Our Xero integration isn’t just thorough–it’s fast. Any change made in Tallie is automatically updated in Xero in real-time. Additionally, Tallie regularly checks Xero for updates to ensure both systems are always running in sync.

Tallie’s 2015 Conference Season Handbook

Spring is here and with it comes the 2015 conference season! This May, our team is looking forward to seeing our friends at the ITA Spring Collaborative, the SuiteWorld Conference, the McGladrey Technology Conference, and the Practice Engine User Conference.

Team Tallie is also attending June’s Xerocon and AICPA Practitioners Symposium & Tech+ Conference. We especially look forward to CEO Chris Farrell’s panel presentation at June’s Boomer’s Producers Circle. And if you’re coming to June’s Scaling New Heights, be sure to register for Chris’s Power Breakfast Session!

Tallie expense reports conference season

Facing a whirlwind conference season yourself? Here are some posts from the Tallie blog you may want to check out before hitting the road.

1. Prevent fraud with effective expense policies.

Before you get on the plane (or book your ticket!) make sure you really know your company’s specific travel and conference policies. Can multiple employees take the same flight? Are you sure you can expense your hotel WiFi fee? Will you need to keep receipts for every expense, or just certain types? Thorough policies and strong internal controls not only prevent fraud and keep businesses IRS-compliant, they also protect employees from making expensive mistakes. Double-check company policies now–don’t wait until your expense report is rejected to learn the rules. If you’re an accountant or administrator, check out our guide on creating and automatically enforcing custom expense policies with strong internal controls.

2. Ensure per diem (and reimbursable) protection.

Per diems are a common means of funding employees’ conference expenses. But as is the case with a reimbursable model, per diems have their pros and cons. For example, an employee that sleeps soundly but loves a good meal can choose how much of his allowance to spend on lodging vs. dinners out. As for employers, per diems mean no surprises on employee expense reports, making it much easier to budget for upcoming conferences. However, per diems without proper documentation (like receipts) are a major fraud risk. Here’s a simple, but effective, way to prevent per diem and expense report fraud.

3. Save money with some business travel pro-tips.

If you’re exhibiting at an upcoming conference, you’ve most likely made your travel plans well in advance. Of course, sometimes plans have to change at the last minute. How can you get the best deals on hotels, meals and transportation on short notice? Believe it or not, with a little forethought, you can save hundreds of dollars at your next conference. Here are six ways to save on business travel expenses.

4. Don’t get left behind!

Even the most stimulating conferences can be pretty exhausting. Dehydration, hunger, and fatigue go hand in hand with crowds and back-to-back panels. We know you want to look sharp, but don’t discount comfort altogether–if you have your heart set on wearing heels, be sure to bring a pair of back-up flats just in case. We’ve prepared a list of recommendations for snacks, tools, and accessories that will keep you alert all day long!

5. Want to finish your expense reports fast? Ditch Excel.

No matter what conference(s) you attend this year, you’re going to spend a lot of time on your feet. Whether you’re waiting at the gate, sitting at the drive-through, or rushing to make the next keynote address, you don’t have a lot of time to spend tracking your expenses. Well, with the right expense report software, you can complete your expense reports in minutes. Just snap a picture of your receipt, and let Tallie enter the relevant data for you. Not convenient enough? Tallie’s smart features will even learn to automatically categorize each expense. Your submitted expense report is immediately sent to your approver’s email so you can get reimbursed as soon as possible. What could be better than that?

Tallie’s iPhone and Android apps make it easy to track your conference expenses. Try our award-winning expense management software FREE for 14 days – no credit card or commitment required. Or, schedule your free Tallie product demo now.

Announcing Multi-Entity Shared Environment for Tallie and Intacct Users

Great news for Intacct users! You already know that Tallie and Intacct sync your data in real-time, no clicking required. Our first-of-its-kind integration just got even better.

Here are the highlights:

  • Access all your Intacct entities through a single console account.
  • Write transactions to every entity–not just the top level.
  • A stable, secure data sync from Tallie to Intacct, compatible with your payment system.

Previously, Intacct’s shared multi-entity customers had to create individual expense management and payment system accounts for each. This solution, while viable, was inconvenient, created unnecessary work, and sometimes resulted in poorly organized data.

That’s why we’re proud to offer a complete, shared multi-entity environment for Tallie and Intacct users. Read on for the details!

Access all your Intacct clients and entities through a single console account.

It can be difficult for Intacct console administrators to manage multiple sign ins for each of their clients, let alone install sync users in each. Now, admins can access all their client accounts from a single administrator sign in. No need to juggle multiple logins or consoles!

Intacct Diagram 2

To connect Tallie to a console entity or client, admins should log in to Tallie then select the Sync Settings page under Integration & Sync.

Provide your Intacct console sign in credentials to establish a connection with Intacct.

Tallie expense reports intacct shared multi-entity environment sign in credentials

You may now select an entity or client from the drop-down list.

Talle expense reports Intacct shared multi-entity environment choose entity from list

Write transactions into every Intacct entity.

Other accounting solutions that claim to support Intacct multi-entity environments really only sync with and export to a single entity. Meanwhile, Tallie’s solution lets you write transactions to every entity from the same Tallie account. Tallie routes its exports to different entities based on preferences that you set for the payee, whether it’s an employee or credit card vendor.

Tallie expense reports Intacct multi-entity shared environment - single console account

Secure, accurate sync from Tallie to Intacct and your payment system.

Tallie securely delivers your expense data to Intacct in bill form. You can then manage your payment process via any Intacct-supported third party payment system, including Bill.com, MineralTree, American Express Check Delivery Service, and others.

Use Tallie’s Expense Reports & Internal Controls to Stay IRS Compliant Year-Round

A 2014 study by the Association of Certified Fraud Examiners estimates that organizations lose an average of 5% revenue to fraud each year. Without strong internal controls, a company is at risk for theft, misappropriation of funds, and a major audit. Here’s how to use Tallie’s automated expense reports to prevent fraud and stay IRS compliant year-round.

Create (and automatically enforce) thorough company policies.

You cannot prevent expense fraud without first establishing clear, specific company policies. For example, you may permit employees to expense WiFi fees at a conference, but only up to $20 a day. Of course, even the most thorough policy is useless unless it’s properly enforced. Miscommunication, a lack of awareness, and ineffective management can expose a company to fraud and a potential audit.

Historically, the reinforcement of these policies has been tedious and time-consuming. Accountants had to manually respond to violations, re-educate employees about the company policy, and then wait for a corrected expense report. Now, modern expense report software eliminates the need for these manual processes.

Companies that automate internal controls not only save time and cost, but also decrease the likelihood of fraud. Tallie’s policy engine lets you create custom expense policies based on category, dollar amount, project, class and more. Any expense that violates these policies is automatically detected, and the employee is notified immediately.

Tallie-expense-reports-use-internal-controls-to-stay-irs-compliant-out-of-policy-flag

If an employee doesn’t understand why their expense was in violation, they can simply click the “Out of Policy” alert to learn more. This not only prevents unnecessary errors, but helps ensure that employees remember the company policy while making future purchases.

Tallie-expense-reports-use-internal-controls-to-stay-irs-compliant-out-of-policy-reason

Keep expense reports IRS-compliant with timely and accurate records.

IRS Publication 463 requires that your records be not only accurate, but timely:

“You should record the elements of an expense or of a business use at or near the time of the expense or use and support it with sufficient documentary evidence.”

(Publication 463, Cat. No. 11081L, Page 26)

Submitting your expense reports with Tallie satisfies both of these requirements. In the event of an audit, the IRS will expect you to provide consistent and complete records of all purchases and reimbursements, complete with legible receipts. To ensure you’re recording “sufficient documentary evidence,” we recommend using Tallie’s policy engine to require a receipt for any expense over $75, as per IRS document 463, chapter 5.

Tallie-expense-reports-use-internal-controls-to-stay-irs-compliant-set-policy-requirements

One of the major benefits of expense report software like Tallie is the ability to throw away your receipts after you’ve captured their image. But will the IRS really accept a picture of a receipt in lieu of the original?

Believe it or not, the IRS has actually accepted electronic documents, including scanned receipts, since 1997 (IRS Revenue Procedure 97-22). In order to be considered valid, the receipt (or receipt image) must include the merchant’s name and address, the transaction date, the amount paid, and the business reason for your purchase. All of this information can be stored within Tallie for easy access in the event of an audit. No more hunting through shoeboxes!

Tallie also allows you to store your receipts within your chosen accounting system. Exports to QuickBooks Online and Intacct include your receipt images as part of an attachment to the Bill (Intacct) or Bill/Check/Expense (QuickBooks Online.)

QuickBooks Desktop users can take advantage of our direct integration with SmartVault, where their electronic documents can be stored and retrieved on demand.

Tallie is the best expense management solution for strengthening your business’s internal controls. You create your custom policies within Tallie–we’ll automatically enforce them. Want to see how? Schedule a free, 1-on-1 product demo with one of our experts.
