Accounting for the Future: How to Ensure Your Firm’s Success in 2015 and Beyond

2015 is right around the corner, and with it comes the promise of a better, brighter future for your firm. Studies show that the accounting industry is undergoing dramatic changes–future success will require creativity, innovation, and predictive insight from those in the field. The good news is, now is the ideal time to make your move! By being proactive about embracing emerging tech and evolving practices, your firm can thrive in the new year and beyond. Here’s how to get started:

1. Avoid a 2015 meltdown. Think ahead when closing your books.

When closing out the fiscal year, there are a few extra steps you can take to ensure the next year goes a little smoother than the last. First, while Congress has extended certain expiring tax provisions until October 2015, you should take this time to familiarize yourself with upcoming changes to the tax code. Perhaps most important are those pertaining to the Affordable Care Act, which your clients may still be struggling to adjust to.

And speaking of clients, as you close your books, make note of anyone who had a habit of being late with required documents. (Or worse, with payments!) While the onus should be on the client to provide information in a timely manner, keeping track of those who wait till the last minute now can help prevent a crisis during the busy season. Make timeliness and ease of communication a part of your year-end checkup for the health of each account. If a flakey, combative client has made your holidays miserable, remind yourself to start hounding them well before April!

2. Don’t procrastinate–automate. Fully manage your expenses in minutes each week.

We’ve found that, on average, 40% of transactional accounting is spent on Accounts Payable, with half of that time spent processing expense reports alone. Unlike static payables such as rent or utilities, expenses vary from period to period. This means that expense reporting traditionally requires regular and time-consuming data entry. Not only can this lead to miserable overtime hours, but potential clerical errors as well. Fortunately, the face of expense management has markedly changed in recent years. Tallie automates the entire expense report process, from point of sale to the balance sheet, preventing errors and fraud before the report even reaches an accountant’s inbox. Our research shows that Tallie users save an average of 67% of time spent on their expense reports. That’s why more and more CPAs are relying on automation, apps, and other tech to do that work for them. According to a study conducted by CPA.com, accountants must learn to embrace emerging technologies, and fast, if they wish to keep up in the marketplace. If you’re intimidated by the idea of disruptive technology in your industry, consider this: Most CPAs who now take advantage of accounting software like QuickBooks Online and Xero couldn’t imagine limiting their work to Excel documents. And even those accountants who still refuse to move beyond their spreadsheets would most likely balk when asked to trade in their PC for a pen and paper.

Disruptive technology is changing the industry faster than many accountants feel they can keep up, and only 10% of those surveyed by CPA.com claim to think of themselves as innovative. However, the study also suggests that those who adopt the latest tools and best practices will have a tremendous advantage over competitors in the coming years. There is an entire, thriving ecosystem of accounting apps and services that will automate your expense reports, reconcile your books, and even help prevent fraud. Not only will adopting these technologies save your firm time and money, it will also make you more attractive to clients. A study published by the Sleeter Group found that nearly half of small- to to medium-sized businesses want their accountant to be proactive about new technology. However, that same study found that only 20% of accountants are meeting that need today. That’s where you come in!

4. Don’t just predict the future–create it yourself.

Now is the time start being proactive about major shifts in the accounting industry. Feeling a little behind? Make small (but significant) changes, like replacing your offline accounting system with one in the Cloud. Version 10.3 of Tallie brings you improved Purchases and Credit Card pages, increased CSV functionality and a more intuitive Export page. We pride ourselves on building software that blends seamlessly with our customers’ pre-existing workflows. Check Status of Connected Cards

Upon visiting the Credit Card page, Tallie will automatically check the connection status of your cards. If you do have connected credit cards that are experiencing connectivity issues (such as an invalid password or a connection error with your bank) Tallie will display a more detailed call to action, letting you know how to resolve the issue. In the meantime, you will now be able to see and interact with your existing charges, regardless of alerts.

Last release, we also rolled out the ability to create an additional CSV upon export. As a reminder, you can turn this on by visiting “Features” and toggling “Turn on .CSV Export Templates for custom exporting to third party systems.” Once this feature is enabled, go to “Integration & Sync,” and then click on “.CSV Templates.”

You’ll now see ADP and Paychex listed alongside our existing Bill.com and Practice Engine templates.

Tallie Android App 3.0 Release Notes: Mileage Tracking, Quick Add Functionality, and Error/Duplicate Flagging

We’re proud to reveal the latest version of the Tallie Android app! Version 3.0 makes it easier to capture your receipts and expenses on the go. Whether it’s grabbing a dozen receipts from your photo library at once, capturing your mileage, or manually entering expenses, this release has you covered. Once you’re inside the app, it’s just one tap to access the camera and two taps to create any other expense. Talk about a snap! Read on for more details about these and other new features available to Android users.

New “Quick Add” Features

Once you’ve logged into Tallie, you can tap the green “Add” icon to launch a number of intuitive features. Simply swipe left or right to view them all. Here are your new options:

After launching “Quick Add,” tap once to snap a picture of a receipt with your camera. This will import the image and run it through our receipt processing system. We’ll discern and enter the merchant name, date, amount and expense category.

Mileage

Now it’s easy to record your mileage with your Android phone. Our app will place you near your starting position, and then track where you end up. Just tap “Stop,” once you’ve finished your trip to end the mileage tracking. Or, if you like, you can manually enter your starting point and destination in advance. Either way, once you’ve created a mileage expense, you can easily edit or delete it as needed.

After your trip has been saved, you can enter pertinent information just as you would with any other expense. Mileage tracking supports Category, Date, Reasons and Class, Billable states and Project or Department (if applicable).

Now it’s simple to create an expense even if you don’t have a receipt. Just swipe over to the “Create” screen, enter your expense details, and tap again to save.

Are you someone who likes to take shot after shot of your receipts? You now have the power to select 5, 10, or even 20 images at once from your photo library and import them directly into Tallie. Simply tap the pictures you want, hit “Import” and we’ll begin processing them for you.

Functionality

Once you’ve imported your expenses, it’s easy to move to them onto new reports, existing reports, or check to see if you have any duplicates before submission. But don’t worry–even if you find an error after the fact, you can still “unsubmit” and edit the report before it’s been approved (or rejected!)

To add an expense to a new or existing report, simply tap the expenses themselves. Then hit the “Move” button (highlighted by the arrow below) to send them to the expense report of your choice.

Flagged Expenses: Possible Duplicates and Out of Policy

Tallie now displays warnings for expenses which may be duplicates or are out of policy. You can tap on any of the flagged expenses to either make the necessary edits or delete them outright. However, if you would like to merge a receipt with its duplicate, you’ll need to log in to Tallie on the web.

Below you’ll see an example of some expenses flagged as out of policy, as well as some possible duplicates.

How to Prevent Per Diem and Expense Report Fraud

Employee expense fraud is one of the most prevalent dangers to a company’s assets. Even per diem claims have recently come under scrutiny because of several high-profile fraud allegations. How can a company protect itself in the face of a projected $3.5 trillion global loss to fraud each year? While Tallie has written in the past about how to prevent expense report fraud, in light of current events, we wanted to share how we can help prevent not just reimbursement fraud, but per diem abuse as well.

What is per diem?

Rather than reimbursing actual employee expenses for things like meals and lodging, per diem (meaning “for each day”) allows companies to give a pre-set amount of funds to their employees in advance. For example, a $200 per diem would mean that an employee receives $200 to spend on travel expenses that day. By contrast, under an expense reimbursement system, that employee might spend $180.46 on a ticket, submit the amount on their expense report, and be reimbursed for the exact total.

When is per diem a good thing?

Lets say you’re a pretty heavy sleeper, but you can’t stomach the idea of visiting a conference in Maine without trying a lobster dinner. Per diem allows you the freedom to choose how you want to spend the per diem allowance. You might choose to stay in a crowded budget motel, leaving more money to put towards your big meal. Of course, some companies specify how much of a per diem can be spent on meals as opposed to lodging or other incidental expenses, so be sure to read the rules before ordering the surf ‘n turf!

As for employers, per diems mean no surprises when the expense report comes in. If you know that your employees will receive X amount of money on X amount of travel days this year, these costs can simply be budgeted in advance. And since your employee has a set maximum for a meal budget, they are less likely to set you back for the cost of a $50 steak or $200 in room service. Any expenditures over the allocated per diem amount must be covered by the employee.

What are the dangers of per diem?

Because hotel and restaurant rates vary based on location, it can be difficult to ensure that the same pre-set amount will be appropriate for every trip. While the GSA provides yearly per diem rates for individual counties in the United States, seasonal prices fluctuate dramatically for both lodging and transportation.  For example, a reasonable rate for traveling in New York City the Saturday before New Year’s Eve is much higher than that for a Wednesday in March.  Some businesses choose to establish on-season and off-season per diem rates for different locations, but these must be constantly checked and updated to remain effective.

Per diems may also inadvertently encourage risky or unethical behavior from your employees. One the one hand, a fixed allowance might motivate your team be frugal with company funds. On the other hand, an employee who wants to pocket any leftover cash from their lodging allowance might choose to stay in a dangerous part of town in order to maximize their payout. Another might ask for per diem to pay for meals at a conference in which lunch and dinner were included with her ticket. The latter is known as “double-dipping,” and may also manifest as employees collecting per diem and then submitting an expense report for reimbursement. Someone might also try to claim that visiting two conferences in separate towns on the same day qualifies for 2x the per diem, while another might leave at 4:00 in the afternoon and ask to be reimbursed for a full day’s worth of meals.

Oftentimes, whether in business or government, receipts are not required to justify per diem use. Without records to show how that money was (or wasn’t) spent, it’s very difficult to prove whether or not food- and lodging-specific funds are being spent appropriately.

Per diems are commonly used by government agencies to provide incentives for legislators to take part in optional committees, events, and special sessions. But a state lawmaker from Pennsylvania is currently in hot water over potential per diem fraud, facing allegations that he deliberately took advantage of the state’s per diem program. Critics cite the fact that even though the House had only 81 days in session, Rep. Sainato logged and received per diems for 192 days on the job. A New Mexico representative was also recently accused of double-dipping her meal expenses–in addition to collecting her per diem, she allegedly sought reimbursement for meals from the state’s funds as well as from her campaign account.

The truth is, whether your company deals in per diems or reimbursable expenses, any system that doesn’t require documentation in the form of receipts is at risk for fraud. But there is good news: with the right system in place, expense abuse can be prevented before it starts.

How can I prevent per diem or expense report fraud?

To set up per diems in Tallie, you must first create a new expense category. Then enter your amount into “Fixed Rate” and map it to the service item or expense account you wish to operate as per diem. Some companies choose to provide a set amount of dollars per day regardless of expense type, while others choose to get more specific. For example, you could choose to set up one new category as “Per Diem – Food” and use a rule to reimburse up to X amount of dollars per employee. You could then set up another as “Per Diem – Lodging,” good for up to Y amount of dollars, and so on. Here we’ve entered $71, the GSA’s required minimum for meal per diems in San Francisco.

To help prevent abuse, Tallie allows administrators to create policies for each individual expense category, including per diems. If you opt to require receipts for any and all per diem expenses, our smart fraud detection will automatically flag reports that do not provide the appropriate documentation.

To prevent double-dipping, Tallie can also detect and alert you to potential duplicates, so that the same receipt can not be used to justify multiple meals or hotel stays. We’ve just launched the latest version of our expense report automation software! Tallie 10.2 brings new custom exports and templates, expanded CSV support, as well as improved, easier-to-use UI. These changes were designed to better serve our customers who want greater speed and customizability in their accounting workflow. In particular, our new templating tool offers you much more control over data exported from your accounting system. I. New Custom Export and Templates

Tallie has created a better method of generating custom spreadsheets upon export – not only are we now be able to support a “third” export file, it’s a much cleaner and easier experience to create new templates. In practice, users can export their reimbursables to an accounting system, and their non-reimbursables to an accounting system or custom spreadsheet. Now, with this feature enabled, users can also export unlimited numbers of spreadsheets with either reimbursables or non-reimbursables – or both.

Go to “Settings”, then click “Features” and enable “Turn on .CSV Export Templates for custom exporting to third party systems.”
